POSITION DESCRIPTION
Reporting to the Director of Finance, the Manager of Finance oversees the day-to-day accounting functions and financial operations at YWCA Regina, providing department leadership to ensure accurate, timely financial records that support the organization's operating and reporting requirements. The Manager of Finance leads and develops the frontline finance team, oversees account reconciliations and core accounting processes, and identifies opportunities to improve processes, procedures, and systems driving efficiency, strengthening financial accountability, and supporting the organization's audit readiness.
KEY RESPONSIBILITIES
Daily Operations & Service Delivery (25%)
- Plan, assign, and monitor cyclical work across the frontline positions based on deadlines, volume, risk, and
available capacity.
- Maintain service standards, work queues, escalation protocols, backup coverage, and clear ownership for AP, AR,
billing, receipts, cards, cash, and accounting requests.
- Resolve routine operational issues and escalate material, unusual, technical, or control-sensitive matters to the
Director of Finance. GL Close, Reconciliation & First-Level Review (25%)
- Manage the monthly close process and ensure journals, subledgers, reconciliations, schedules, and supporting
documentation are completed and reviewed.
- Perform first-level review of routine accounting work and ensure reconciling items and exceptions are assigned,
tracked, and resolved.
- Maintain month-end close procedures, checklists, reporting, and communications to support collaborative work
and accurate, timely reporting. Staff Leadership & Development (20%)
- Coach, support, and provide timely performance feedback to finance staff.
- Establish training plans, cross-training, documented procedures, and succession coverage for critical processes.
- Create a respectful, accountable, service-oriented team setting that supports learning and continuous
improvement. AP, AR, Cash & Control (20%)
- Ensure accounts payable and accounts receivable transactions including invoicing, payments, billing, receipts, and
cash operations are processed accurately, completely, and on time.
- Administer credit and collections policies to manage customer credit risk and support timely collections.
- Monitor AR aging, unapplied cash, billing backlog, AP exceptions, and reconciliation status, and direct corrective
action as needed.
- Support the annual budgeting process by providing financial data, analysis, and departmental input as required.
- Ensure adherence to Generally Accepted Accounting Principles, ASNPO Accounting Standards, and internal
controls, including separation of duties. Process, Systems & Projects (10%)
- Research, draft, and update finance policies and procedures for review and approval.
- Ensure approved policies and procedures are accurately implemented and maintained.
- Identify and recommend opportunities to improve financial processes and systems, measuring whether changes
improve timeliness, accuracy, controls, or staff capacity.
- Lead or support finance-related projects, including system improvements within Sage Intacct, Lillio, and
Microsoft 365.
- Complete other duties as assigned.
WHAT WE’RE LOOKING FOR Education
- A degree in Business, Accounting, or a related field, or an equivalent combination of education and experience.
Experience
- 3 to 5 years of progressive experience in accounting operations, including month-end close, reconciliations,
accounts payable/receivable, and staff supervision.
- Experience reviewing the work of others, managing competing deadlines, and resolving operational issues across
departments.
- Experience in a complex, multi-site, nonprofit, childcare, housing, or government-funded environment is an asset
Knowledge, Skills & Abilities
- Strong people leadership, coaching, prioritization, and workload-management capability.
- Solid understanding of accrual accounting, subledgers, reconciliations, revenue, payables, and cash controls.
- Advanced Excel skills, with comfort learning and improving financial systems.
- Strong analytical, problem-solving, and critical thinking skills.
- Clear, effective communication and strong relationship building and interpersonal skills.
- Organized and able to consistently meet deadlines by prioritizing work and tasks effectively.
- Sound judgment on when to resolve issues directly versus escalate.
ASSETS & PREFERRED QUALIFICATIONS
- Experience with Sage Intacct, Lillio, and Microsoft 365, including familiarity with automation/workflow features
within Microsoft tools (e.g., Power Automate).
- Experience building close calendars, service metrics, procedures, or cross-training programs.
- Experience and/or interest in working from a feminist, trauma-informed organization.
- Experience researching, drafting, and implementing policy and procedure improvements.
- Passion for supporting and developing colleagues to meet standards and best practices.
WORKING CONDITIONS & PHYSICAL REQUIREMENTS Work Environment: Primarily in-office, with hybrid flexibility based on operational needs.
Physical Demands: Typical office environment with extended periods of computer use.
