Job Title: Information Technology (IT) Coordinator

Reports To: the Executive Directors’ Committee and the Designated Executive Director

Location: Yellowknife, NT

Job Status: Full Time

Purpose The Mackenzie Valley Land and Water Boards (MVLWB, WLWB, SLWB, and GLWB) are responsible for the fair, inclusive, and transparent management of land and water resources in the Mackenzie Valley, including the conservation, development, and use of resources and the management of waste. Their purpose is to protect the environment and support the social, economic, and cultural well-being of residents while ensuring resources provide the greatest benefit to the Mackenzie Valley and all Canadians.

The Mackenzie Valley Review Board is responsible for conducting environmental impact assessments of development proposals and ensuring potential environmental, social, economic, and cultural impacts are considered in decision-making.

Together, the Boards support responsible resource management, environmental protection, and sustainable development throughout the Mackenzie Valley.

The Information Technology (IT) Coordinator for the Mackenzie Valley Land and Water Board (MVLWB) and the Mackenzie Valley Review Board reports to the designated Executive Director and supports the organization’s IT needs. The responsibilities of this position include managing IT infrastructure across various platforms, overseeing and managing security threats and responses, troubleshooting day-to-day issues, leading discrete IT upgrades and projects, supporting the onboarding and offboarding process, overseeing and managing inventory, ensuring the effective operation of hardware, software, and network infrastructure, liaises with and manages IT vendors, and develops internal IT policies and procedures. A key responsibility is ensuring data security, system reliability, and continuous improvement of IT services across the organization.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

There may be other activities required of the employee in addition to those essential functions listed below.

1. Coordinate and maintain IT systems and infrastructure:

a) Maintain and monitor computer systems, servers, networks, and related infrastructure;

b) Install, configure, and update hardware, software, and applications;

c) Monitor system performance and ensure availability, reliability, and security of IT systems;

d) Perform regular system maintenance, backups, and updates;

e) Track and manage IT assets, including hardware and software inventory;

f)



Ensure data integrity and business continuity through backup and recovery processes; and g) Assist in planning and implementing system upgrades and improvements.

2. Provide technical support and user assistance:

a) Respond to staff IT-support requests in a timely and professional manner;

b) Troubleshoot hardware, software, and network issues;

c) Provide training and guidance to staff on IT systems and tools;

d) Develop and maintain user documentation and support materials; and e) Assist staff with remote access, communication tools, and collaboration platforms.

3. Manage IT security and access controls:

a) Implement and maintain IT security protocols and best practices;

b) Monitor systems for security risks and respond to incidents as required;

c) Manage user accounts, permissions, and access to systems and data;

d) Ensure compliance with organizational IT policies and data protection requirements; and e) Assist in developing, updating, and implementing cybersecurity procedures and policies.

4. Coordinate external IT services and projects:

a) Liaise with external IT service providers, vendors, and consultants;

b) Coordinate contracted IT services, agreements, and monitor deliverables;

c) Assist in procurement of IT equipment and services;

d) Support implementation of new systems and technologies; and e) Evaluate IT solutions and provide recommendations for improvements.

5. Support organizational systems and data management:

a) Maintain and support internal databases and document management systems;

b) Assist with data organization, storage, and retrieval processes;

c) Support specialized software (e.g., GIS or regulatory systems) as required; and d) Ensure consistency and reliability of organizational data systems.

6. Contribute to organizational planning and improvement:

a) Assist the Executive Directors in developing, updating, and implementing IT procedures and policies;

b) Participate in internal planning related to technology needs and priorities;

c) Recommend improvements to systems, workflows, and IT practices; and d) Stay current with emerging technologies and best practices relevant to the organization.

7. Perform other related duties as required,



including but not limited to:

a) Support general administrative and technical initiatives; and b) Assist other staff with non-technical tasks where appropriate.

EDUCATION AND/OR EXPERIENCE:

The incumbent will preferably hold a diploma or degree in Information Technology, Computer Science, or a related field, with a minimum of three to five years of related experience in IT support and systems administration. Equivalencies will be considered. Experience working in a northern environment or within a public or regulatory organization would be considered an asset.

KNOWLEDGE, SKILLS, AND ABILITIES:

The incumbent will be expected to have the following knowledge and skills:

- Knowledge of IT systems, networks, and infrastructure management;
- Knowledge of cybersecurity principles and data protection practices;
- Experience with Microsoft 365, cloud services, and common business software;
- Familiarity with database systems and document management tools;
- Ability to troubleshoot technical issues and implement effective solutions;
- Strong critical thinking and problem-solving skills;
- Ability to manage multiple tasks and priorities in a fast-paced environment;
- Positive understanding of computer hardware and software systems;
- Ability to read and interpret technical documentation;
- Strong organizational and time management skills;
- Very good interpersonal and customer service skills;
- Ability to explain technical concepts to non-technical users; and
- Familiarity with northern working environments and cross-cultural settings would be considered an asset.

CONTACTS:

- Executive Directors’ Committee: Monthly, to receive overall strategic direction and provide updates on all things IT
- Designated Executive Director: Daily, to provide support for day-to-day work;
- Board and Staff: During onboarding and offboarding, and as needed day-to-day to resolve issues.

WORKING CONDITIONS AND EFFORT:

- Ability to work in cross-cultural settings;
- Ability to respond to urgent technical issues and work under pressure;
- May require occasional irregular hours or overtime for system maintenance;
- Willingness to travel amongst the physical office locations (currently there are six); and
- Ability to work in, and contribute to, a collaborative and dynamic office environment.

Pay: $114,079.00-$120,101.00 per year
