Overview
We are seeking a dedicated and detail-oriented Legal Assistant to join our dynamic legal team. The ideal candidate will provide essential support to the RCIC by managing various legal administrative tasks, conducting legal research, and ensuring that all documentation is accurate and organized. This role is crucial in maintaining the efficiency of our Immigration Law operations and requires a proactive approach to problem-solving, organization, record-keeping, and communication.
Job Summary
This position requires a high level of professionalism, confidentiality, and empathy. Only apply if you studied Legal Assistant program, Law Clerk, or similar legal studies and have some legal assistant or immigration application experience. Freshers and candidates with no prior experience may be considered if they have graduated from a Legal Assistant program from an accredited learning institution in Canada.
Responsibilities
- Assist the RCIC in preparing legal documents, including briefs, pleadings, agreements, and contracts.
- Conduct thorough legal research using tools such as Lexis-Nexis and CanLII to gather relevant case law and statutes, and stay updated with the latest immigration regulations and requirements.
- Proofread legal documents for accuracy, grammar, and compliance with legal standards.
- Organize and maintain files, both physical and electronic, ensuring easy access to important information.
- Manage project timelines and assist in coordinating case management activities.
- Conduct interviews with clients and witnesses as needed to gather pertinent information for cases.
- Perform data entry tasks accurately to maintain up-to-date records in the case management system.
- Handle clerical duties such as answering phones, scheduling appointments, managing correspondence with clients and other parties, and performing other client intake responsibilities.
- Assist in managing client files, preparing documents, completing immigration application forms, and coordinating communication.
- Manage client inquiries and ensure timely follow-up on all communications.
- Organize and maintain digital and physical records for all immigration-related files.
- Provide support in completing immigration forms, reviewing documents, and ensuring accuracy before submission.
- Ensure the office runs smoothly by ordering supplies, maintaining office equipment, and liaising with vendors as needed.
- Prepare and assist with immigration case submissions under the direction of the RCIC.
- Handle Immigration applications from start to finish with little or no supervision, while maintaining accurate and up-to-date client records and documentation
- Fill immigration application forms and get information from clients as needed
- Manage social media accounts for the company and advertise the RCIS's services to the public.
- Gather information to determine client eligibility for immigration services and make notes as needed
- Perform any other relevant task that may be reasonably requested or required.
Skills
- Strong proofreading skills with attention to detail to ensure high-quality documentation.
- Proficient in file management practices for both physical and digital documents.
- Experience using Lexis-Nexis, CanLII or similar legal research tools is preferred.
- Excellent organizational skills to manage multiple tasks efficiently in a quick-paced environment.
- Project management abilities to prioritize tasks, oversee case timelines, and meet deadlines
- Strong interviewing skills to extract relevant information from clients and witnesses.
- Proficient in data entry with a focus on accuracy and confidentiality of sensitive information.
- Solid clerical skills including phone etiquette, ensuring professional communication with clients and colleagues.
- Strong computer skills, including proficiency in Microsoft Word, Excel, and other office software
- Excellent customer service skills, with the ability to communicate effectively with clients from diverse backgrounds
- Strong organizational skills and multitasking abilities to manage caseloads and maintain accurate records
- Proficiency in Microsoft Office (Word, Excel, Outlook) and other administrative software.
- Excellent verbal and written communication skills.
- Strong familiarity with IRCC portals and ability to complete client documentations such as the basis of claim form for refugee claimants, submission letters for immigration applications, and appeals.
- Ability to design straightforward graphics and promotional flyers using tools like Canva
- Ability to work independently and as part of a team.
Ability to maintain confidentiality, professionalism, and discretion when dealing with sensitive client information.
Qualifications & Experience
- Must have completed a Legal Assistant, Legal Administrative Assistant, or Legal Office Administration program at a recognized institution in Canada.
- Must have knowledge of Canadian Immigration Law, including refugee law, and must be familiar with the relevant sections of the IRPA, IRPR, and the Citizenship Act.
- Must be patient, customer service oriented, and have great attention to detail. Must be detail-oriented
- Previous administrative experience in an immigration consultancy or related field is a strong asset.
- Familiarity with Canadian immigration procedures (e.g., Express Entry, work permits, study permits, visitors visa, family sponsorship, refugee claims, etc.)
- French language proficiency is an asset.
- The ability to speak any other language other than English is an additional asset
Eligibility Requirements:
- Candidates must possess a valid Canadian work permit, permanent resident status, or Canadian citizenship. Students with valid study permits and actively pursuing education in a Designated Learning Institution in Canada may be considered for part time work up to 24 hours a week. No work permit support will be provided.

Schedule
· Monday to Friday (9:30 am to 5 pm)
· Work Location: In person (Hamilton, Ontario).
