Role Overview The Mailroom and Print Services Clerk is responsible for managing mail distribution and delivering exceptional print services within the organization. This role involves receiving, sorting, and delivering mail to various departments while ensuring efficient communication and accurate document handling. In addition, the position serves as a dedicated print services professional, building and maintaining strong relationships with clients, coordinating the timely and successful delivery of print services in accordance with Service Level Agreements (SLAs), and providing responsive, professional support for print-related inquiries.
Acting as a trusted advisor, the role ensures high-quality service, operational efficiency, and a positive customer experience across mailroom and print service functions.
Duties and Responsibilities
Mailroom
- Sort and distribute Mail
- Receive, sort, and deliver incoming mail and packages to the appropriate departments or individuals.
- Prepare and process outgoing mail, including weighing packages,
affixing postage, and ensuring compliance with postal regulations.
- Record keeping: maintain accurate records of incoming and outgoing mail and packages.
- Mailroom equipment: operate mailroom equipment such as postage meters and scanners.
- Customer Service: assist employees with mail-related inquiries, and provide excellent customer service.
- Inventory Management: Track and manage mailroom supplies, such as envelopes and labels.
- Security: ensure the security and confidentiality of mail and packages.
- Additional duties as assigned.
Print Services
- Order entry, project planning, assessment, and billing of orders completed in a timely fashion, following established policies and procedures
- Production of printed documents (black and white, large format, and fully colour projects) are conducted in a way that utilizes the right materials to produce a high-quality result
- Proactive management of projects that are done onsite as well as projects sent to the main plant, ensuring delivery is on schedule
Qualifications
- Education: High school diploma or equivalent
- Physical Requirements: Ability to lift 50 lbs.
Skills and Experience
- A solid understanding of computers and office equipment is a requirement
- Attention to detail and multi-tasking abilities
- Previous mailroom and print production experience is considered an asset
- Strong ability to remain organized and manage multiple projects and duties
- Written and verbal fluency in English
- Exceptional customer service ethic that is displayed in the passion for the work
- Excellent time management skills to ensure that scanning and mail deliveries are completed on schedule.
- Robust fluency in English written and verbal skills is a requirement
- Desire to perform different functions daily as required
- Ability to work in a team or independently.
