About us
D&L; Environmental is a Kelowna-based hydrovac and environmental services company. Our crews work across the Okanagan on utility, construction, and industrial sites. The office is small, rapid-moving, and directly connected to what's happening in the field — what you do here has a visible effect on the trucks rolling every morning.
About the role
We're hiring an Office Administrator to be the front line of our office: answering the phone, managing the inbox, and running day-to-day accounts payable and basic accounts receivable.
This is an entry-level position. We're not expecting an accounting background — we're expecting someone organized, reliable, and comfortable talking to people. If you're accurate with numbers, calm on the phone, and want to learn the finance side of a busy operations business, we'll train you on the rest.
You'll report directly to the Controller and work alongside our accounting and dispatch staff.
What you'll do
Reception & communication
- Answer incoming calls, take clear messages, and route customers, suppliers, and drivers to the right person
- Monitor and triage the general office inbox; respond to routine emails
- Greet visitors, handle couriers and deliveries, and keep the office running
Accounts payable
- Enter supplier bills into QuickBooks Online and code them to the right job and account
- Match invoices to purchase orders and packing slips, and flag anything that doesn't line up
- Prepare payment runs for Controller approval and file records accurately
Accounts receivable
- Generate and send customer invoices
- Apply incoming payments and keep the AR aging current
- Make friendly, professional follow-up calls on overdue accounts
General admin
- Collect and organize field tickets, and job paperwork
- Maintain digital filing in SharePoint/Microsoft 365
- Order office supplies and support the team with ad-hoc admin tasks
What we're looking for
Required
- High school diploma or equivalent
- Strong written and verbal English communication — you'll be on the phone a lot
- Comfortable with Microsoft 365 (Outlook, Word, Excel) and quick to pick up new software
- Careful and accurate with numbers and data entry
- Able to stay organized and prioritize when the phone is ringing and the inbox is filling up
- Legally entitled to work in Canada
Nice to have (not required — we'll train)
- Any experience with QuickBooks Online or another accounting system
- Prior reception, customer service, or office admin experience
- Exposure to construction, trucking, or trades environments
- Post-secondary coursework in business or accounting
Who does well here
- Accurate the first time — you double-check before you send
- Steady on the phone, including with a frustrated customer or a driver in a hurry
- Asks questions instead of guessing
- Notices when a process is clumsy and says something
What we offer
- Full-time, Monday to Friday, in-office in Kelowna with some flexibility on start/finish times
- Extended health and dental benefits after the probationary period
- Two weeks' paid vacation to start
- Hands-on training in bookkeeping and operations administration — a genuine path toward an accounting or office management role
- A small team where your work is visible and your suggestions get heard
- On-site parking
Working conditions
Standard office environment. Regular phone contact with customers, suppliers, and field crews — some of those calls are demanding. Extended periods at a computer.
Pay: $22.00-$28.00 per hour
Expected hours: 40.0 per week
Benefits
- Casual dress
- Company events
- Dental care
- Employee assistance program
- Extended health care
- Flexible schedule
- On-site parking
