Overview

We are seeking a dynamic and highly organized Office Administrator to join our team! In this vital role, you will be the backbone of our daily operations, ensuring that administrative functions run smoothly and efficiently. Responsibilities

1. Job Scheduling & Coordination

- Book jobs, confirm appointments, and communicate job details to the team.
- Maintain up-to-date calendars for service calls, installations, and inspections.
- Track every job from quote through to invoicing and follow-up.

2. Customer Service & Communication

- Answer phone calls and emails promptly and professionally.
- Handle booking inquiries, complaints, and general questions.
- Keep clients informed of arrival times, job changes, and delays.

3. Administrative & Office Tasks

- Create and manage physical and digital job folders.
- File compliance documents, permits, warranties, and inspection reports.
- Maintain office supply inventory and manage deliveries.

4. Billing, Invoicing & Accounts

- Prepare quotes and invoices, and follow up on outstanding payments.
- Process purchase orders and supplier invoices.
- Assist with payroll data collection and expense tracking.

5. Compliance & Recordkeeping

- Track licensing, backflow testing, and inspection logs.
- Maintain job history, asset lists, and testing certifications.
- Keep health and safety, WSIB, and insurance documentation current.

6. Support to Owner & Field Staff





- Relay urgent messages and job updates quickly to plumbers and field staff.
- Compile reports, logs, and documentation for the owner.
- Help organize toolbox talks, training schedules, and reviews.

Requirements

- Previous administrative experience required; experience in a trades or construction office is strongly preferred.
- Clear, confident, and courteous phone and email communication.
- Organized and efficient with office and job-management software such as Google Workspace, QuickBooks, and field service platforms like Jobber or ServiceTitan.
- Able to multitask under pressure, balancing client calls, crew questions, and client issues without dropping the ball.
- Strong attention to detail with invoices, permits, and compliance records.
- Takes ownership of the administrative side of the business and flags problems early.
- A good understanding of social networks is strongly recommended such as Facebook, Instagram, and Linkin
