Role Description The Post-Production Coordinator is a contract-based hybrid (remote and in-person) role in Toronto, ON, keeping music and audio post-production projects moving smoothly from first session to final delivery. This is the person who makes sure the right people, sound designers, engineers, composers, voice actors, are in the right room, on time, with everything they need.

Preparation

- Set up session documentation, timelines, and file conventions before work begins
- Brief engineers, sound designers, and voice talent on session details in advance

Scheduling & Coordination

- Book and manage the studio calendar, coordinating sound designers, audio engineers, and composers around shared studio time
- Schedule voice actors and ADR/dialogue sessions, syncing talent availability with engineer and studio-room availability
- Act as the point of contact between internal audio teams, external clients, and freelance talent




- Flag scheduling conflicts or resource gaps before they become problems

Tracking & Delivery

- Track project timelines and deliverables across multiple concurrent projects
- Manage file organization, version control, and delivery of stems, mixes, and masters
- Maintain session notes, revision logs, and project databases

Client & Talent Experience

- Ensure sessions run smoothly and professionally for clients and talent alike. This role is often the first and most frequent point of contact people have with the studio
- Communicate schedule changes and project updates clearly and early

Qualifications

- Experience in production coordination or scheduling, ideally within music, audio post, or a studio/recording environment
- Comfort coordinating multiple people's calendars at once (sound designers, engineers, composers, voice talent, and clients) without dropping the ball
- Familiarity with audio post-production workflows (dialogue editing, ADR, Foley, mixing, mastering); hands-on experience with Pro Tools, Reaper, or a similar DAW is an asset
- Comfort with scheduling/calendar tools (Google Calendar, Calendly, or studio booking software)
- Strong organizational and time-management skills across multiple concurrent projects
- Transparent, professional communication for working with creative teams, producers, clients, and freelance talent
- Availability for occasional evening sessions, since studio bookings don't always fit a 9-to-5
- Understanding of audio file formats and basic delivery specs is a strong asset
- Relevant post-secondary education in audio production, music, media production, or equivalent practical experience
