As a Proposal Assistant, your duties and responsibilities will include:
- Support a national proposal team with administrative, organizational tasks and workflow
- Own, manage and update the national proposal library (Proposal Hub) of material that goes into creating winning proposals
- Data mining of past project details and strong proposal write-ups, extracting information to store on the Proposal Hub
- Assist efforts in proposal development and preparation, including non-technical writing and production. This may include coordinating with colleagues to obtain and update resumes and project descriptions; locating relevant material on the Proposal Hub; sourcing award graphics; conducting research on prospect/client; formatting, reviewing and editing proposals; and helping to ensuring quality and timeliness of final submission of proposals
- Support practitioners in simple formatting of proposals, CVs, case studies and presentations
- Vet proposal-ready client lists and keep the credentials library up to date
- Own the shared proposal team mailbox for opportunity notifications and general requests
- Check bid sites (Merx, Biddingo, Bids & Tenders, etc.) daily, send relevant opportunities to the appropriate practitioners and maintain a record of opportunities sent
- Manage bid site related tasks such as providing bid documents upon request, posting questions to prospects, proposal submission and account management
- Follow up with practitioners on outstanding proposal results
- Support the team with quality control and proofing of proposals and documents.
- Produce reports on key statistics and insights
- Assist with Grant Thornton International requests for information (e.g. member firms that require qualifications from us for their own proposals)
- Support administrative teams channel as required with templates, vetting quals and general information
- Other duties as required

Think you’ve got what it takes to be a Proposal Assistant? Like the colour purple? Great. Here's a few more boxes we’re also hoping you can tick:
- Bachelor’s degree or diploma with an emphasis in Business, Marketing, Communications or related fields
- 1-2 years’ experience in an administrative or coordination role, with proposal familiarity as an asset
- Experience collaborating with multiple teams/stakeholders
- Strong project coordination and prioritization skills when handling multiple assignments
- Exceptional communications skills, both oral and written
- Strong team communication skills and willingness to contribute to team dynamic
- Strong organizational skills, with ability to work under, sometimes, tight deadlines
- Proficiency in Microsoft Suite, CRM software and creating logical filing structures
- Resourceful with ability to problem-solve and document processes
- Intellectual curiosity that drives desire to look further, broader and deeper

But we don’t stop there. We also consider the unique strengths, experiences, and impact each individual brings to the table. Our salary ranges are reviewed annually, and where you land within the range depends on a mix of factors—your background, your skills, and how your contributions align with internal equity.
To help start the conversation, the current salary range for this role is $56,600–$65,000 in Toronto. If the role is available in other locations, the range may differ to reflect local market factors.
