About Omni Life Support

Omni Life Support Training & Consulting Inc. is a New Brunswick-based training organization operating OLS Academy, a Primary Care Paramedic education program, together with Canadian Red Cross First Aid. We are seeking a professional, organized and dependable Receptionist / Administrative Assistant to support our students, staff and day-to-day office operations.

The Opportunity

This position is the primary front-office contact for Omni Life Support and provides administrative support across the organization. The successful candidate will work closely with the Business Operations Manager & Registrar and will play an important role in ensuring that students, applicants, visitors and staff receive timely, professional and accurate assistance.

This position is well suited to someone who enjoys working with people, keeping records and processes organized, and taking responsibility for completing routine administrative work accurately and efficiently.

Key Responsibilities

· Welcome students, applicants, visitors and service providers and provide professional front-desk assistance.

· Answer and direct telephone calls, monitor general email inquiries and respond to routine questions.

· Provide prospective and current students with approved information regarding applications, registration, schedules, documentation and general program administration.

· Receive applications, forms and supporting documents; review submissions for completeness and forward matters requiring further review to the appropriate manager.

· Assist with student registration and enrolment administration under the direction of the Business Operations Manager & Registrar.

· Maintain organized student and administrative files, including scanning, filing, document management and accurate data entry.

· Prepare routine letters, forms, confirmations, certificates, transcripts and other documents as authorized.

· Assist with scheduling appointments, meetings, classrooms and other administrative activities.

· Maintain office supplies and coordinate routine supply orders within established procedures.

· Obtain quotes, prepare purchase documentation and place approved routine orders.

· Receive,



organize and route invoices, receipts and other accounting documentation.

· Assist with routine student-account administration and follow-up as directed.

· Maintain administrative calendars, reminders and records for recurring deadlines, renewals and scheduled activities.

· Prepare employee onboarding packages, forms and administrative files as directed.

· Provide clerical and administrative support to the Business Operations Manager & Registrar, Director of OLS Academy and other authorized staff.

· Assist with maintaining a clean, organized and professional front-office workplace.

· Identify questions or issues outside established procedures and promptly refer them to the appropriate manager.

Reporting & Working Relationships The Receptionist / Administrative Assistant reports directly to the Director of Operations/Registrar. The position also provides administrative support to the Director of OLS Academy and other divisions as assigned. Academic decisions, management decisions, employee supervision, regulatory interpretation and financial approvals remain with the appropriate manager or ownership.

Qualifications & Experience

· Bilingualism (English/French) is a must

· Previous experience in reception, office administration, administrative support, customer service or a similar role.

· Strong organizational skills and attention to detail.

· Professional, friendly and confident communication skills in person, by telephone and in writing.

· Strong computer skills and comfort working with email, word processing, spreadsheets, electronic records and online administrative systems.

· Ability to maintain accurate records and handle confidential information with discretion.

· Ability to manage multiple tasks, interruptions and competing priorities while maintaining accuracy.





· Dependable, punctual and able to work effectively with limited day-to-day supervision once procedures are established.

· Experience in education, healthcare, training or another regulated professional environment would be considered an asset.

· Experience with student records, admissions or post-secondary administration would be considered an asset.

We are looking for someone who is welcoming and helpful while also being organized, accurate and comfortable following established procedures. The ideal candidate takes pride in completing work properly, follows through on commitments and understands when a matter can be handled routinely and when it should be referred to a manager.

Because this position is often the first point of contact with Omni Life Support, professionalism, good judgment, discretion and a genuine commitment to providing excellent service are particularly important.

Compensation

Competitive salary commensurate with experience and qualifications. Based on the responsibilities of the position, the anticipated salary range is approximately $45,000-$50,000 per year depending on qualifications and experience.

In addition to salary, employees enjoy:

· Vacation entitlement accrued in accordance with company policy

· Paid sick days with year end sick day incentive (unused sick days are eligible at 50% of their value)

· Complimentary access to onsite gym

· Monday to Friday 8:30am-4:30pm – 37.50 hours per week
