As our portfolio continues to expand, we're looking for a Renewal Administrator to join our People-First team and play a key role in retaining residents and enhancing their experience.
Location: 7 Green Acres Lane, Navin, MB
Employment Type: Full-Time, Permanent
Work Arrangement: In-office (remote and hybrid work are not available for this position)
About the Role The Renewal Administrator owns the tenant renewal journey from start to finish. This role combines administration, relationship management, customer service, and sales to help residents confidently choose Forthright Properties as their home for another year.
You will be responsible for creating personalized renewal offers, guiding tenants through the decision-making process, addressing concerns, and maintaining consistent communication throughout the renewal cycle. Success in this role requires strong organization, attention to detail, persistence, and the ability to build positive relationships while managing a high-volume portfolio.

What You'll Be Doing:
Renewal Management
- Prepare and process personalized lease renewal offers, ensuring lease terms, rental rates, and dates are accurate.
- Distribute renewal offers within established timelines and confirm tenant receipt.
- Manage the entire renewal process from initial offer through signed lease agreement.
- Maintain accurate records of renewal activity and outcomes in our property management system.
Tenant Communication & Retention
- Serve as the primary point of contact for tenants throughout the renewal process.
- Execute structured follow-up campaigns through phone, email, text, and in-person interactions.
- Build rapport with tenants and proactively address questions, concerns, or objections.
- Negotiate renewal terms within approved guidelines to secure successful renewals.
- Deliver a positive, professional experience that encourages long-term tenant retention.
Problem Solving & Collaboration
- Identify barriers to renewal, including maintenance concerns, tenant relations issues, or account discrepancies.
- Collaborate with internal teams to resolve issues quickly and effectively.
- Escalate at-risk renewals when additional support is required.
- Partner with Leasing and Marketing teams to support turnover planning when tenants choose not to renew.
Reporting & Continuous Improvement
- Track and manage renewal pipelines across the portfolio.
- Monitor response rates, conversion trends, and renewal performance metrics.
- Provide insights regarding renewal outcomes and non-renewal reasons.
- Contribute ideas to improve communication strategies, tenant engagement, and retention results.
What We're Looking For:
Required Qualifications
- High school diploma or equivalent.
- Valid Manitoba Class 5 Driver's Licence.
- Access to a reliable vehicle.
- Ability to successfully complete a criminal background check.
- Strong computer skills and proficiency with Microsoft Office applications.
Preferred Qualifications
- 1+ years of experience in property management, leasing, sales, customer retention, account management, or a similar customer-focused role.
- Multifamily residential experience is considered a strong asset.
- Experience using property management software such as Entrata is an asset.
- Post-secondary education in Business, Communications, Property Management, or a related field is an asset.
