About the Role

Donor Services Inc. (DSI) is seeking a highly detail-oriented, organized, and dependable Reporting & Granting Associate to support our donor-advised fund (DAF) reporting and grant administration functions.

This role is critical to ensuring the accurate and timely delivery of quarterly donor reporting while providing ongoing administrative support for grant processing activities. Through the efficient management of reporting and granting workflows, this position will increase operational capacity across Finance, Client Services, and Grant Processing teams.

The ideal candidate enjoys working with detailed information, has strong analytical and organizational skills, and takes pride in producing accurate, consistent, and error-free work. They are comfortable navigating technology, learning proprietary systems, reviewing investment statements, and managing multiple priorities in a deadline-driven environment.

Key Responsibilities

Reporting Administration

- Download investment statements from online custodial and investment platforms.
- Review investment statements for specific transactions and data accuracy.
- Identify discrepancies, missing information, or unusual transactions for further review.
- Annotate and edit PDF documents as required.




- Save and organize documentation according to established filing procedures.
- Maintain reporting trackers and supporting spreadsheets.
- Generate quarterly donor reports using proprietary reporting software.
- Perform initial quality control and accuracy reviews of reports.
- Coordinate report approvals with Client Services.
- Upload approved reports to the Canada Gives portal.
- Assist with process improvements and technology enhancements related to reporting activities.

Grant Administration

- Support the day-to-day administration and processing of grants.
- Maintain accurate records and supporting documentation.
- Assist with workflow management and transaction processing.
- Respond to internal inquiries and support operational requests.
- Work collaboratively with Client Services, Finance, and Grant Processing teams to ensure timely completion of grant-related activities.
- Provide additional administrative support as required.

Work Cycle & Priorities

This position supports two core functions: reporting and granting.

Monthly Reporting Activities

(Approximately 60% of donor-advised fund accounts)

- Download monthly investment statements from various investment firms.
- Review statements for required transactions and annotations.
- Maintain electronic filing systems and document repositories.
- Update tracking spreadsheets and reporting records.
- Support granting activities during lighter reporting periods.

Quarterly Reporting Activities

(All donor-advised fund accounts, currently 400+ accounts)

- Download and manage all quarterly investment statements.
- Review statements and supporting documentation for completeness and accuracy.




- Generate and distribute quarterly donor reports.
- Complete initial accuracy audits and quality control reviews.
- Coordinate report approvals and portal uploads.
- Prioritize reporting deadlines while maintaining essential grant support functions.

During peak quarterly reporting periods, reporting responsibilities become the primary focus of the role to ensure reports are delivered accurately and on time.

Qualifications

Required Skills & Experience

- Exceptional attention to detail and commitment to accuracy.
- Solid organizational and time-management skills.
- Ability to manage a high volume of detailed administrative work.
- Experience reviewing financial or investment-related documentation.
- Comfort navigating online investment portals and interpreting investment statements.
- Strong technology aptitude and ability to learn proprietary systems.
- Proficiency with Microsoft Excel, including data entry, sorting, filtering, and tracking information.
- Experience working with PDF editing and document management tools.
- Ability to work independently in a remote environment.
- Strong problem-solving skills and ability to identify discrepancies or missing information.
- Excellent written and verbal communication skills.

Preferred Qualifications

- Previous experience in financial services, wealth management, investment administration, .
- Experience supporting reporting, compliance, operational, or administrative processes involving sensitive financial information.
- Familiarity with donor-advised fund administration is an asset.

Compensation & Advantages

- Competitive base salary of $60,000 - $75,000 CAD annually, commensurate with experience
