Background
Douglas Park Community Centre, jointly operated by the Vancouver Park Board and the Douglas Park Community Association (DPCA), provides a range of recreational programs and services including but not limited to licensed childcare/preschool, children, youth, adult, seniors, pottery and fitness programs. The DPCA is a registered not-for-profit society and a registered charity, seeking an Administrative Assistant to support the Board of Director’s administrative operations and activities.
Scope of Work The Administrative Assistant is an independent contract position providing up to 40 hours of service per month. Under the direction of the Community Recreation Supervisor and the Executive Committee, the position will be responsible for performing a variety of administrative and related duties, including:
Monthly Board and Committee Meetings
- Attend all Board meetings (3rd Tuesday of each month);
- Coordinate and attend monthly Committee meetings (up to 4 per month)
- Record and compile Board and Committee meeting minutes;
- Ensure staff and Committee members submit their reports and/or motions in a timely manner;
- Prepare the monthly Board packages with all materials from Committees and circulate via e-mail prior to the monthly Board meetings;
- Record and track all Board motions;
- Perform any other related duties as requested by the Executive Committee, Board members, or the Recreation Supervisor.
Other Administrative Duties
- Maintain Board member contact list and membership list for the AGM;
- Work with the Executive Committee to improve and facilitate communications;
- Work with the Executive Committee and Community Recreation Supervisor to organize the Annual General Meeting (AGM), including the posting of advertisements/notices via various platforms;
- Prepare and provide Board Orientation Manuals for new Board members at the AGM (or when appointed);
- Collect reports from Committee Chairs and staff to coordinate the formatting and printing of the Annual Report;
- Remain organized and ensure appropriate record keeping of all documents in preparation for audit;
- Support administrative tasks related to Licensed Childcare operations including petty cash reconciliation, billing/invoicing, registration overview, record keeping, etc.
Qualifications
- Minimum completion of high school graduation, plus some post-secondary education
- Previous experience in an administrative role;
- Some knowledge or working experience in a non-profit setting, or desire to learn;
- Some experience or understanding of Licensed Childcare operations as asset;
- Strong communication and interpersonal skills;
- Proficiency in Microsoft Office and working knowledge of other software technology including Zoom, Google Workspace, and relevant AI tools;
- Highly organized, detail-oriented, self-motivated, and demonstrated ability to meet deadlines;
- Solid analytical skills, time management, and attention to details;
- Friendly, dependable, and able to handle sensitive information with discretion;
- Ability to work independently as well as part of a team;
- Must be willing and have access to technology and equipment for the role;
- Fluency in English (spoken and written).
Pay: $25.00-$30.00 per hour Expected hours: No more than 10.0 per week
