We are looking for an organized and dependable Intermediate Bookkeeper / Office Administrator to manage our day-to-day bookkeeping and help keep our Burnaby office operating smoothly. This is a hands-on position suited to someone who enjoys variety, takes ownership of their work and is comfortable working in a busy, project-based environment.

Bookkeeping and Accounting Administration

- Maintain accurate and current financial records in QuickBooks Online
- Process accounts payable and accounts receivable
- Enter and review vendor bills, customer invoices, expenses and credit-card transactions
- Complete bank and credit-card reconciliations
- Prepare and coordinate vendor payment runs
- Monitor outstanding receivables and follow up on overdue accounts
- Assist with biweekly payroll and maintain employee payroll information
- Prepare GST, PST and payroll-remittance information
- Assist with WorkSafeBC reporting and other required filings
- Maintain vendor records, purchase documentation and expense receipts
- Track project-related revenue, costs and purchase orders
- Assist with monthly closing procedures and financial reports
- Prepare organized year-end records for the company’s external accountant
- Identify discrepancies and follow up to ensure they are corrected
- Maintain appropriate financial controls and confidentiality

Office Administration
- Support the daily operation of the Burnaby office
- Answer and direct telephone calls and general email inquiries
- Maintain organized electronic and physical filing systems
- Coordinate office supplies, equipment and service providers
- Assist with employee documentation, vacation records and onboarding
- Prepare correspondence, spreadsheets, reports and internal documents




- Support management with administrative and operational tasks
- Help coordinate meetings, company events and office activities
- Assist the project and procurement teams with documentation as required
- Recommend improvements to administrative and bookkeeping processes

Qualifications
- At least three years of bookkeeping or accounting-administration experience
- Practical experience with QuickBooks Online
- Experience with accounts payable, accounts receivable and bank reconciliations
- Working knowledge of payroll, GST and PST
- Strong Microsoft Excel, Outlook and general computer skills
- Excellent attention to detail and numerical accuracy
- Strong written and verbal communication skills
- Ability to organize competing priorities and meet deadlines
- Comfortable following up with customers, vendors and internal team members
- Able to work independently while contributing to a small, collaborative team
- Qualified judgment and discretion when handling confidential information
- Certificate or diploma in bookkeeping, accounting or business administration
- Experience in construction, electrical distribution, procurement or a project-based business
- Experience with project costing, purchase orders and inventory
- Familiarity with Asana or similar project-management software
- Experience supporting month-end and year-end accounting processes
