The Opportunity
We are looking for an organized, customer-focused Branch Administrator to join our Moncton team.
Reporting to the Branch Manager, you will provide administrative, customer service, service coordination, purchasing, and financial support to help ensure the branch operates efficiently and customers receive a high level of service.
Duties include:
- Provide day-to-day administrative and front-office support to the branch.
- Respond to customer inquiries and manage incoming calls, emails, and service requests.
- Create and maintain service work orders, customer records, and branch documentation.
- Support service scheduling and coordinate administrative requirements for technicians and subcontractors.
- Review technician timesheets, expenses, service reports, and other documentation for accuracy.
- Monitor customer portals and ensure service requirements are completed within required SLAs.
- Prepare customer invoices, process purchase orders, and support accounts payable and receivable activities.
- Coordinate subcontractor documentation, invoices, and purchasing requirements.
- Order parts and supplies and assist with inventory management.
- Prepare reports, spreadsheets, and other documentation as required.
- Support the Branch Manager, Service, Sales, and Operations teams with administrative requirements.
- Help maintain an organized, professional, and customer-focused branch environment.
Requirements
- 2+ years of office administration or related experience.
- Strong Microsoft 365 skills, particularly Outlook, Excel, Word, Teams, and OneDrive.
- Excellent organizational and time-management skills.
- Strong attention to detail and accuracy.
- Excellent communication and customer service skills.
- Ability to manage multiple priorities and meet deadlines in a busy environment.
- Strong problem-solving skills, initiative, and a willingness to take ownership.
- Experience with Sage 300 or another ERP/accounting system is an asset.
- Experience with invoicing, AP/AR, purchasing, or financial administration is an asset.
- Experience in field service, construction, facilities, security, or a technical service setting.
- Experience supporting technicians, subcontractors, or service operations.
