We are seeking an experienced and highly organized Construction Project Coordinator to support our project management and site teams in successfully delivering projects from pre-construction through closeout.
Position Summary The Construction Project Coordinator will work closely with Project Managers, Site Superintendents, consultants, subcontractors, suppliers, and clients to coordinate project documentation, procurement, schedules, costs, and day-to-day project requirements.
The successful candidate must have 3–5 years of Canadian construction experience, specifically involving commercial and/or mid-rise residential construction projects, and a solid understanding of Canadian construction practices, drawings, specifications, contracts, and project documentation.
Key Responsibilities
Assist Project Managers with the planning, coordination, execution, and closeout of commercial and mid-rise residential construction projects.
Review and coordinate architectural, structural, mechanical, electrical, civil, and other construction drawings and specifications.
Prepare, issue, track, and follow up on RFIs, submittals, shop drawings, change orders, site instructions, and other project documentation.
Coordinate with consultants, subcontractors, suppliers, and the site team to resolve design and construction issues.
Assist with subcontractor tendering, bid analysis, scope review, procurement, and contract administration.
Track project schedules, procurement requirements, long-lead items, and critical project milestones.
Assist with project cost control, including commitments, purchase orders, change orders, invoices, and budget tracking.
Maintain accurate and organized project files, logs, meeting minutes, correspondence,
and document control systems.
Attend project, consultant, subcontractor, and site coordination meetings and prepare meeting minutes and action-item logs.
Work closely with Site Superintendents to ensure required information, materials, shop drawings, and approvals are available to support construction activities.
Review subcontractor quotations and assist Project Managers in evaluating pricing and scope changes.
Coordinate inspections, testing, consultant reviews, deficiencies, occupancy requirements, and project closeout documentation.
Assist with preparation and tracking of warranties, operation and maintenance manuals, as-built drawings, and turnover packages.
Support compliance with applicable building codes, health and safety requirements, project specifications, and company procedures.
Maintain professional communication with clients, consultants, subcontractors, suppliers, and other project stakeholders.
Required Qualifications
Minimum 3–5 years of construction project coordination experience in Canada is required.
Demonstrated experience working on commercial and/or mid-rise residential construction projects in Canada.
Diploma or degree in Construction Management, Civil Engineering, Architectural Technology, Engineering Technology, or a related field.
Strong understanding of Canadian construction drawings, specifications, contracts, and construction processes.
Experience coordinating multiple construction disciplines, including architectural, structural, mechanical, electrical, and civil.
Practical knowledge of RFIs, shop drawings, submittals, change orders, purchase orders, tendering, and project closeout.
Ability to read and interpret construction drawings and specifications.
Strong organizational skills with the ability to manage multiple priorities and deadlines.
Strong written and verbal communication skills.
Proficiency with Microsoft Office, including Excel, Word, Outlook, and Project.
Experience with construction management/document control software such as Procore, Autodesk Construction Cloud, Bluebeam, or similar platforms is an asset.
Valid driver’s licence and ability to travel to project sites as required.
Preferred Qualifications
Experience with projects involving concrete or structural steel construction, building envelope systems, interior finishes, and MEP coordination.
Experience supporting projects from pre-construction through occupancy and closeout.
Familiarity with Canadian construction contracts, consultant coordination, permitting, inspections, and change management.
Knowledge of construction scheduling and cost-control processes.
Experience working with general contractors or construction managers on active commercial or multi-residential projects.
