Project Coordinator / Estimator

Salary: CA$70,000–$80,000 per year

Position Summary

Reporting to the Project Manager, the Project Coordinator / Estimator supports the successful planning, execution, and delivery of construction projects from pre-construction through closeout. This role provides project coordination, document control, cost tracking, scheduling, procurement support, and estimating assistance while working closely with project managers, site teams, consultants, clients, and subcontractors.

Key Responsibilities

Project Coordination & Document Control

- Coordinate and maintain all project documentation, including drawings, shop drawings, RFIs, submittals, change orders, QA/QC reports, NCRs, schedules, and project correspondence.
- Ensure project documentation is current, organized, and properly maintained within company systems.
- Prepare meeting agendas, meeting minutes, action logs, and project progress reports.

Project Cost Control

- Assist Project Managers with tracking project budgets, costs, invoices, and progress billings.
- Support the administration of change orders, purchase orders, and contract documentation.
- Assist with bid evaluations, contractor prequalification, tender summaries, and subcontract award processes.

Project Planning & Execution

- Support project planning from mobilization through closeout.
- Coordinate project resources, subcontractors, suppliers, and general trades.
- Assist with developing and maintaining project schedules and tracking key milestones.
- Communicate with clients, consultants, project stakeholders, and field personnel as required.
- Assist with project closeout, including as-built drawings, Operations & Maintenance manuals, warranty documentation, inspections, and deficiency completion.

Estimating Support





- Assist with quantity take-offs, pricing, subcontractor and supplier quotations, and estimate preparation.
- Support bid submissions and pre-construction activities.
- Previous estimating experience is considered a strong asset.

Qualifications
- 3+ years of construction project coordination, project management, or related experience preferred.
- Strong understanding of commercial, industrial, or design-build construction.
- Excellent organizational skills with the ability to manage multiple priorities simultaneously.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office (Excel, Word, Outlook) and construction management software.
- Experience preparing meeting minutes, action logs, schedules, and project documentation.
- Knowledge of QA/QC processes, ITPs, SWPs, and document control systems is an asset.
- Technical knowledge of electrical, mechanical, HVAC, refrigeration, and building automation/control systems is considered an asset.
- Estimating experience is highly desirable.
