Position Overview
As the Front Desk Receptionist/Client Care Administrator, you are the first face to our clients. Using your administrative experience in health, wellness or hospitality, you will welcome our clients, make them feel comfortable, help turn potential clients into clients, run the daily schedule, handling billings and be the organizer extraordinaire that keeps the day running smoothly.

Required Qualifications
- Minimum 1 year of administrative, front desk or health and wellness office experience (required).
- Ability to adapt quickly to recent technology and software systems. Experience using Jane App software is an asset.
- Ability to interact with clients sensitively, empathetically, and professionally at all times.
- Superior telephone etiquette and strong interpersonal skills.
- Ability to communicate effectively, both verbally and in writing
- Ability to work independently as well as collaboratively within a team

Key Responsibilities
- As a passionate brand ambassador, you serve as the first point of contact for clients, visitors, and external stakeholders, creating brand equity with every interaction. You are a key part of the client experience and success on their path to freedom from incontinence.
- Manage daily schedules and coordinate client treatments.
- Answer and manage telephone and email inquiries, including converting potential clients into clients.
- Handle client feedback, concerns, and complaints professionally and mindfully.
- Handle billing processes and generate daily reports.
- Develop a strong understanding of the company’s scheduling and billing software.
- Assist the Client Care Manager with daily administrative tasks and operational needs.
- Maintain a high level of confidentiality in all interactions and client information.
- Monitor clinic supply inventory and place orders as needed.
- Maintain and model appropriate personal boundaries with clients, and refrain from involvement with client personal affairs or other business that may constitute a conflict of interest.
- Follow and model safe work practices and health & safety standards.
- Contribute ideas and oversee and assist with the planning and implementation enhancements that make our client experience better.
- Submit required documentation and reports accurately and on time.
Work Conditions
- Regular on-site presence is required; remote or hybrid work is not available for this position
- Flexibility with hours as needed
- Operation of desktop computer, iPads, merchant machines and phones
- Extended periods of sitting
- Interaction with clients, employees, management, and potential clients
- Attendance and participation in training
