SCC has implemented a hybrid working model. Our model balances remote work with coming together in person when it is purposeful. This position can work remotely most of the time, while requiring in-person work regularly. SCC's office is located at 55 Metcalfe Street in downtown Ottawa.
A Day in the Life of an Information Management Specialist The Information Management Specialist is responsible for contributing to the implementation and advancement of SCC’s Information Management (IM) program and contributing to IM/IT related projects that require IM expertise. The IM Specialist reports to the Data Architect, in the Information Management/Information Technology (IM/IT)
group and acts as a key resource to provide input in the advancement of the IM program and designs/solutions for potential AI initiatives with IM components. The role works with internal business areas to support creation of solutions and ensure compliance with SCC policies, standard operating procedures, privacy, regulations, and various IM related obligations.
The role also executes tasks related to SCC Records and Retention and provision of IM advisory to SCC staff.

Experience and skills
- Post-secondary education in Information Systems, Records or Information Management, Archives Management programs, Commerce or related field or an acceptable combination of education, training and/or recognized experience
- Minimum of 3 years’ progressive experience in information management systems, preferably in the field of Enterprise Document Record Management Systems such as GCDocs, SharePoint, or equivalent technology
- Experience supporting the identification and classification of existing enterprise records.
- Experience contributing to projects with IM or records management components.
- Significant working knowledge of Microsoft 365 (Word, Excel, PowerPoint, Outlook) and specifically Microsoft SharePoint Online (SPO) and MS Teams.
- Experience with the following is considered an asset:
- Microsoft SharePoint administration, MS Teams administration.
- Microsoft Purview/Security and Compliance.
- Certification in Records Management.
- Demonstrated involvement with AIIM, ARMA International and/or APQC or other organizations related to records/information management.
Key Activities
1. Supports the implementation and advancement of SCC’s Information Management (IM) program and IM Roadmap:
- Works under the Data Architect to enable the IM Program and execute upon key activities as defined through SCC’s IM Strategy and overall IM roadmap and acts as a subject matter expert on IM initiatives.
- Supports the Data Architect to initiate the assessment and design of the modernization of any IM/IT solutions that contain corporate records. This includes the implementation of security/record classification labels at SCC.
- Develops action plan to support solutions that may contain elements such as, but not limited to (metadata templates, content types, and functionality, AI adoption), to migrate records to from legacy solutions to modernized cloud-based solutions.
- Work with SCC’s project management office to deliver IM/IT solutions, ensuring that projects follow IM Policies, Standard Operating Procedures, and regulations.
Prepares advisory for requests for proposals (RFPs), and work with external vendors and input to IM related components of projects.
1. Support the tasks related to SCC Records and Retention and provision of IM advisory to SCC staff
- Contributes to the development of IM management policies and procedures, IM training, ensuring alignment with QMS, ATIP, Legal, and Library and Archives, Global Affairs Canada, or Treasury Board Secretariat obligations/guidelines.
- Liaise with internal stakeholders to facilitate disposal of electronic and physical records located in remote storage facility. Responsible for coordinating record disposal and transfer through proper channels and communications with stakeholders
- Provides advice on proper IM practices to ensure proper record classification, handling, and adherence to SCC processes (ATIP, Records Management and Disposition, etc.).
A final note Note 1: Priority will be given to Canadian citizens and permanent residents.
Note 2: SCC is responsible for the Personnel Security Clearance process. Typically to be eligible for a "Reliability" clearance, you must have five years of verifiable background information and to be eligible for a "Secret" clearance, you must have 10 years of verifiable background information. The process usually involves reference inquiries, verification of qualifications, criminal records checks, and credit checks (as required) and may require fingerprints.
