Legal Assistant – Real Estate, Corporate & Estates

We are looking for an experienced Legal Assistant to manage real estate files from beginning to end and assist with corporate, estate planning, and estate administration matters. This position is well suited to someone who takes ownership of their work, communicates professionally, and can keep matters moving without requiring constant direction.
What You’ll Do
Real Estate
- Manage purchase, sale, mortgage, and refinance files from opening through closing and final reporting
- Communicate with clients throughout the transaction and ensure they remain informed
- Prepare correspondence, conveyancing documents, trust letters, statements of adjustments, and closing materials
- Complete ISC title searches and prepare registrations and submissions
- Review and satisfy mortgage instructions, including lender portal and title insurance requirements
- Coordinate with clients, realtors, lenders, mortgage brokers, and other law firms
- Schedule signing appointments and manage closing dates, conditions, and other critical deadlines
- Follow up proactively on outstanding documents, funds, registrations, and reporting requirements
- Prepare final reports and ensure files are completed and closed properly
Corporate and Estates
- Assist with incorporations, annual maintenance, corporate reorganizations, and other corporate matters
- Prepare and maintain corporate records and minute books
- Assist with wills, powers of attorney, and health care directives
- Assist with probate applications and other estate administration matters
- Communicate professionally with clients, accountants, financial institutions, beneficiaries, and other third parties
- Maintain organized electronic files, checklists, deadlines, and follow-up tasks
- Assist with other administrative and practice-related matters as required
What We’re Looking For
- Previous experience handling Saskatchewan real estate files is required
- At least five years of experience as a legal assistant is preferred
- Experience in corporate law, estate planning, or estate administration is an asset
- Strong written and verbal communication skills
- Professional, timely, and polished communication with clients and other parties
- Excellent organization and close attention to detail
- Ability to manage multiple active matters and competing deadlines
- Ability to work independently and take responsibility for moving matters forward
- Reliability and consistent availability during agreed working hours
- Sound judgment, discretion, and a strong commitment to client service
- Comfort working remotely within a structured, technology-based practice
Additional Assets
- Experience with ISC Land Titles
- Experience with lender portals and title insurance
- Residential and commercial conveyancing experience
- Familiarity with CosmoLex or comparable legal practice-management software
Position Details
