Medical Office Assistant — Urologic Oncology Practice

Southern Alberta Institute of Urology (SAIU), Rockyview General Hospital — Calgary, AB

Job Summary

We are seeking an experienced, detail-oriented Medical Office Assistant to join a new urologic oncology practice at the Southern Alberta Institute of Urology (Rockyview General Hospital). The practice focuses on the surgical and multidisciplinary management of kidney, prostate, bladder, and hereditary/complex urologic cancers, including robotic and image-guided surgery, and will run an active clinical research program through the office.

This is a ground-floor opportunity: you will help build the systems and workflows of a brand-new practice and grow with it over the long term. Because the physician spends much of the week in the operating room and hospital clinics, the MOA is the hub of the office — you will manage referrals, scheduling, and surgical coordination with a high degree of independence and trust.

Duties

- Serve as the first point of contact for patients, families, and referring providers, providing warm, professional front-desk service on clinic days and courteous, timely communication by phone during work hours
- Receive and triage incoming consultation requests according to practice protocols and triage tools — confirming required pre-visit investigations (e.g., PSA, imaging, urine cytology, pathology reports), requesting missing information from referring offices, and booking patients into the appropriate stream (clinic vs. cystoscopy clinic) based on urgency
- Schedule, confirm, and reschedule appointments across clinic, cystoscopy clinic, and operating room days using Accuro (clinic) and Connect Care/Epic (hospital)
- Coordinate surgical bookings: OR slates, pre-admission requirements, pre-operative investigations, and surgical wait-list management
- Maintain accurate, up-to-date medical records in compliance with the Alberta Health Information Act and applicable privacy regulations
- Manage a multi-line phone system efficiently, directing calls appropriately and handling patient and provider inquiries professionally
- Support the practice's clinical research program with administrative tasks such as scheduling research-related visits, and managing correspondence
- Prepare examination rooms and organize clinic supplies in support of clinical staff
- Handle general administrative tasks including filing, data entry, faxing/correspondence, and document management
- Assist with physician billing (Alberta Health Care Insurance Plan claims) — an asset, but not a requirement

- Medical Office Assistant diploma or equivalent




- Previous experience as a Medical Office Assistant is an asset; experience in a surgical specialty, urology, or oncology setting is a strong asset
- Proficiency with electronic medical records; experience with Accuro and/or Connect Care (Epic) is a strong asset
- Strong knowledge of medical terminology; familiarity with urology and oncology terminology is an asset
- Compassionate, clear communication with patients and families navigating a cancer diagnosis — in person and by phone
- Demonstrated ability to triage and prioritize competing demands, and to work independently on days when the physician is in the operating room
- Solid understanding of medical office procedures, referral management, and surgical booking processes
- Excellent organizational skills and attention to detail in record keeping, scheduling, and administrative tasks
- Professionalism, discretion, and sound judgment when handling confidential health information
