Parts Counter Associate — Audi Durham

About the Role- We're looking for a motivated, customer-focused Parts Counter Consultant to join our Audi dealership team. This role is the face of our parts and accessories department — handling customer calls, fulfilling orders, driving accessory sales, and keeping our front counter and showroom running smoothly. If you're organized, reliable, and enjoy building relationships with customers, we want to hear from you.

What You'll Do- Serve as the primary point of contact for parts customers — in person, by phone, and by email- Fulfill accessory orders for new car sales and ensure all showroom vehicles are properly outfitted- Track and follow up on Special Parts Orders (SPO) for both individual and counter sale customers- Maintain accessory inventory levels and keep the boutique area stocked and presentable- Process wholesale and dealer-to-dealer sales, including proper documentation and billing- Manage returns in accordance with department return policy- Own every invoice you create from start to finish, with clear documentation on any changes- Support warranty processing, including weekly warranty destruction and documentation- Keep your workstation and the front counter area clean and organized

What We're Looking For- Strong communication skills — comfortable on the phone and responsive over email- A customer-first mindset with the ability to multitask in a fast-paced environment- Comfort learning dealership systems (parts management, order tracking, invoicing software)- Reliability and attention to detail, especially around documentation and billing accuracy- A team player willing to jump in and support the shop or sales floor when needed- Professional appearance and willingness to wear branded uniform## What You Can Expect From Us- Explicit daily expectations and structured training- A role with room to grow as our department evolves- A team environment where your ideas are welcomed at regular team meetings.





Preferably minimum 1 year of dealership experience.

Hours:

- Monday, Tuesday, Thursday, Friday from 7:30am to 5:00pm.
- Wednesday from 9:30am to 7:30pm
- Every 3rd Saturday from 8:00am to 4:00pm.

Department Hours:

- Monday, Friday from 7:30am to 5:00pm.
- Tuesday, Wednesday, Thursday from 7:30am to 7:30pm
- Saturday from 8:00am to 4:00pm

Pay Structure: Salary plus bonus per Department Sales

Duties and Responsibilities:

- Establishes and maintains good working relationships with customers to encourage repeat and referral business
- Ensures that customer complaints are handled tactfully, promptly with genuine concern and according to the dealership’s guidelines
- Creates an environment where customers are regularly apprise of the current situation
- Takes the initiative to exceed customer satisfaction, even if it requires overcoming obstacles
- Ensures that each and every customer encounter is consistent
- Provides excellent customer service by listening to customer inquiries and requests asking questions to ensure understanding of needs, and supplying parts in a timely manner
- Recommends related Parts that are needed
- Ensures necessary parts are available
- Informs customers when special order parts have arrived
- Costs on invoice or repair order
- Responds with a sense of urgency to requests for emergency parts
- Maintains tight control over parts inventory to increase efficiency and eliminate customer delays
- Follows up with customers to ensure that their needs have been met
- Understands the customer service measurements used within the brand network
- Identifies,



recommends and supports opportunities for methods/process improvement in the Parts Department
- Encourages the sale of branded parts
- Maintains a professional appearance at all times.

Meet Objectives

- Acts quickly to implement plans; organizes work efficiently; follows up to ensure successful implementation
- Prioritizes work to meet demands and customer needs
- Assists in receiving and stocking parts orders
- Monitors and follows up on back orders daily
- Issues purchase orders in accordance with company policy
- Properly secures high-risk stock items
- Follows up daily on “parts for credit/return”
- Reviews parts pricing to be sure it’s in line with the estimate
- Notifies the Parts Manager of out-of-stock parts or shop materials that need attention
- Uses computer to look up and monitor parts requests as well as recording parts disbursed per repair order
- Assists in updating Parts Catalogues
- Performs cashier responsibilities when necessary
- Maintains a proper filing system for all paperwork corresponding to repair orders, special orders and back orders, etc.
- Maintains displays
- Orders Parts accurately and promptly by skillfully using the facility’s parts cataloguing system and the relevant portions of the facilities computerized management system
- Has a thorough insight into automotive systems in general
- Maintains parts area in a clean well-organized manner; keeps work area clean and organized
- Maintains safe, work practices at all times and abides by working rules and standards

Job Type: Full-time Pay: $45,000.00-$65,000.00 per year
