We are currently looking to hire our next great team member for the position of Parts Coordinator located in Charlottetown, PE. This is an ideal opportunity for someone who is organized, detail-oriented, and motivated by supporting technicians, coordinating with vendors, and keeping service work moving efficiently.

What You'll Do

As a Parts Coordinator, you'll play a key role in supporting efficient repairs and service work by ensuring parts are ordered, received, documented, organized, and available when needed.

- Order, receive, organize, stock, and document parts used for repairs, service calls, customer work orders, internal repair orders, internal maintenance orders, and related service activity.
- Receive parts and sublet invoices in the Point of Rental purchase-order module and maintain the required supporting documentation.
- Verify incoming shipments, identify missing or incorrect parts, stock items correctly, and maintain accurate inventory records.
- Communicate backorders, delays, incorrect shipments, pricing concerns, and availability issues to service leadership and affected branch team members.
- Charge parts and sublets accurately to the appropriate work orders to support fleet-cost and customer-billing accuracy.
- Support technicians by providing required parts promptly and helping stage parts to reduce repair delays.
- Assist with opening and closing service calls and internal repair or maintenance orders when required.




- Communicate with vendors regarding parts availability, pricing, order status, sourcing options, and shipment issues.
- Validate invoices against purchase orders and maintain accurate purchase-order, receiving, invoice, warranty, and parts records.
- Work closely with Service Writers, Technicians, Dispatch, Operations, Service Managers, and Parts team members to provide updates on parts availability and delays.
- Maintain clean, safe, and organized parts areas by following 5S, material-handling, housekeeping, and hazard-reporting practices.
- Identify recurring inventory, vendor, or workflow issues and recommend practical improvements.

Qualifications

Required

- High school diploma, GED, or an equivalent combination of education and related work experience.
- Experience or demonstrated ability in parts coordination, inventory, purchasing, warehousing, service administration,



or a related environment.
- Ability to use business systems for purchase orders, receivers, work orders, inventory records, invoices, and supporting documentation.
- Strong organizational, communication, problem-solving, follow-up, and multitasking skills.
- Strong attention to detail and commitment to record accuracy.
- Commitment to safe material handling, 5S standards, hazard reporting, and branch safety procedures.
- Ability to work legally in Canada.

Preferred

- Experience in equipment rental, construction equipment, automotive, industrial, heavy-equipment, or mechanical service environments.
- Experience with Point of Rental or similar rental, service, inventory, purchasing, or work-order systems.
- Familiarity with purchase orders, receivers, service calls, internal repair orders, internal maintenance orders, and customer work orders.
- Experience with cycle counts, inventory reduction, parts staging, warranty documentation, or vendor management.
- Forklift, material-handling, inventory-management, purchasing, safety, or parts-related training is considered an asset.
