Position Title: Payroll Clerk

Company: Trio Group Ventures Ltd.

Affiliated Companies: Great Slave Helicopters (2018) Ltd., 53 North Air Sales & Leasing Ltd., Airsask Aviation Ltd., Lakeside Spirits Inc., and other affiliated companies

Reports To: Finance Controller & Sr. Accountant The Payroll Clerk is responsible for providing accurate and timely payroll administration and support for employees across the organization. This position supports the payroll team with payroll processing, employee data maintenance, time and attendance records, payroll adjustments, benefits and deductions, reconciliations, reporting, and payroll-related inquiries.

The Payroll Clerk works closely with Human Resources, Finance, managers, and employees to ensure payroll information is complete, accurate, confidential, and processed in accordance with applicable federal, provincial, and territorial legislation and company policies.

Key Responsibilities:

· Assist with the preparation and processing of bi-weekly and semi-monthly payrolls.

· Review and enter employee timesheets, hours worked, overtime, vacation, statutory holidays, sick time, and other payroll-related information.

· Verify payroll information for accuracy and completeness prior to payroll processing.

· Process payroll adjustments, earnings, deductions, reimbursements, and other payroll changes as required.

· Maintain accurate employee payroll records and ensure changes are properly documented.

· Assist with new employee setups, employee changes, transfers, leaves, and terminations.

· Process employee changes related to salary, pay rates, banking information, tax forms, deductions, and benefits.





· Ensure payroll deadlines are consistently met.

· Assist with payroll-related statutory deductions, remittances, and reporting requirements.

· Maintain working knowledge of applicable Canadian payroll legislation, employment standards, and taxation requirements.

· Assist with year-end payroll activities, including T4 preparation and reconciliation.

· Support Workers’ Compensation Board (WCB) reporting and other payroll-related filings as required.

· Assist with payroll audits, reconciliations, and requests for payroll information.

· Maintain organized payroll documentation and records in accordance with company policies and legislative requirements.

· Assist with payroll, benefit, deduction, and payroll clearing account reconciliations.

· Investigate payroll discrepancies and work with the Payroll Manager, Finance, or Human Resources to resolve issues.

· Review payroll reports and identify unusual or inconsistent transactions.

· Assist with maintaining payroll reports and providing payroll information to management and Finance.

· Support payroll system updates, testing, and process improvement initiatives.

· Respond professionally and promptly to employee payroll inquiries.

· Explain payroll deductions, vacation pay, statutory deductions,



benefits, and other payroll-related matters.

· Work closely with Human Resources regarding employee changes and payroll-related employment information.

· Maintain strict confidentiality of employee compensation, banking, tax, and personal information.

· Provide administrative support to the Payroll Manager and Director of Payroll as required.

· Perform other payroll and administrative duties as assigned.

Qualifications and Experience:

· Diploma, certificate, or post-secondary education in Payroll, Accounting, Business Administration, Human Resources, or a related field.

· 2–3 years of experience in payroll administration or a related accounting/payroll role.

· Experience processing payroll in a Canadian organization.

· Experience with payroll data entry, timesheets, deductions, benefits, and payroll reconciliations.

· Experience working with payroll or HRIS systems.

· Experience supporting payroll for multiple companies or employee groups is considered an asset.

· Experience with Sage/AccPac or similar payroll/ERP systems is considered an asset.

· Payroll Compliance Practitioner (PCP) designation or progress toward PCP is considered an asset.

· Working knowledge of Canadian payroll legislation, statutory deductions, and employment standards.

· Strong proficiency in Microsoft Office, particularly Excel.

· Strong numerical, data entry, and reconciliation skills.
