Position: Payroll Coordinator
Job Type: Permanent, Full-Time.
Location: Hamilton, Ontario.
Pay Range: $50,000-60,000

Key Responsibilities of the Role
- Assist with the end-to-end processing of payroll for unionized and non-unionized hourly and salaried employees across multiple provinces, including supporting payroll administration for 11 union groups (4 in Eastern Canada and 7 in Western Canada), ensuring compliance with applicable provincial legislation, collective agreements, internal payroll procedures, and regulatory requirements, including the preparation of T4s and Records of Employment (ROEs).
- Maintain accurate and up-to-date payroll databases, ensuring all employee, project, and payroll-related information is properly captured, validated, and recorded to support payroll processing and reporting requirements.
- Accurately process payroll using the Payworks platform.
- Maintain accurate and organized payroll records for data entry, calculations, and reporting.
- Collaborate with work sites to ensure accurate time entry and resolve related issues; assist with time entry as needed.
- Perform audits of payroll data to ensure accuracy and compliance.
- Process employee changes and adjustments,
ensuring appropriate authorization and adherence to deadlines.
- Update and maintain payroll records to reflect changes in employee status, including exemptions, job titles, departments, and divisions.
- Respond to payroll-related inquiries from employees, finance departments, and government agencies.
- Support internal and external audits by providing relevant payroll documentation and information.
- Investigate and resolve payroll discrepancies through thorough data analysis.
- Process payroll-related remittances, including WCB, union dues, group insurance perks, and RRSP contributions, ensuring accuracy and timely submission.
- Assist with payroll-related reports using Excel and internal systems.
- Maintain confidentiality and ensure compliance with privacy standards in handling employee payroll information.

Qualifications – What Will Make You Successful
Education
- Post-secondary education in Payroll Administration, Accounting, Finance, Human Resources, Business Administration, or a related field preferred.
Experience
- 2+ years of full-cycle payroll experience, preferably in a multi-provincial, hourly and salary setting.
- Experience administering unionized payroll and basic understanding of collective agreements is strongly preferred.
- Experience working with payroll audits, reconciliations, and payroll-related reporting.
Technical Knowledge & Skills
- Knowledge of Canadian payroll legislation, employment standards, and statutory requirements across multiple provinces is an asset.
- Proficiency with payroll systems; experience with Payworks is considered a strong asset.
- Basic to Intermediate skills in Microsoft Excel, including formulas, pivot tables, lookups, and data analysis.
- Experience supporting benefit and pension/RRSP remittances, union dues, and Workers' Compensation Board (WCB) remittances is strongly preferred.
- Strong analytical and problem-solving skills with a high degree of accuracy and attention to detail.

Required Designations or Certifications
- Payroll Compliance Practitioner (PCP) designation from the National Payroll Institute is an asset.
