Job Summary

Reporting to the Project Manager, the Project Coordinator plays a key role in supporting the day-to-day operations of construction projects from pre-construction through project completion. This position is responsible for coordinating project activities, monitoring schedules, supporting procurement and subcontractor management, tracking project documentation, and facilitating communication between field and office teams.

The Project

Coordinator helps ensure projects are executed efficiently, remain on schedule and within budget, and meet mistral Group's quality, safety, and operational standards.

Duties and Responsibilities:

1. Project Operations

1.1 Coordinate day-to-day project operations to support successful execution of construction activities.

1.2 Monitor project schedules, milestones, and work progress, identifying risks and escalating issues that may impact timelines or budgets.

1.3 Collaborate with Site Superintendents, Project Managers, subcontractors, and suppliers to ensure work is properly planned and executed.

1.4 Coordinate labour, equipment, and material requirements to maintain project productivity.

1.5 Support project planning by identifying operational improvements and helping resolve field challenges.

2. Procurement & Contract Administration

2.1 Coordinate procurement of materials, equipment, and subcontractor services to support project schedules.





2.2 Prepare and manage purchase orders, subcontracts, change orders, and project documentation.

2.3 Track project commitments, invoices, and costs, ensuring timely processing and accurate records.

2.4 Coordinate RFIs, submittals, shop drawings, and contract documentation.

2.5 Assist with tendering activities and subcontractor onboarding.

3. Project Controls & Reporting

3.1 Monitor project performance against schedule, budget, and key milestones.

3.2 Prepare progress reports, project updates, and forecasting information for the Project Manager.

3.3 Maintain accurate project documentation, records, and correspondence.

3.4 Support project closeout activities, including deficiencies, warranties, and turnover documentation.

3.5 Identify operational risks and recommend corrective actions where appropriate.

4. Compliance, Quality & Project Governance

4.1 Promote compliance with company health and safety policies and regulatory requirements.

4.2 Support quality assurance processes through inspections, documentation, and follow-up on deficiencies.

4.3 Ensure project documentation complies with contractual and legislative requirements.

4.4 Participate in site meetings, safety meetings, and project reviews.

4.5 Maintain confidentiality of project and client information.

5. Other

5.1. Works in a protected manner and ensures department operations are carried out in a safe manner in accordance with the Occupational Health and Safety Act, associated regulations, mistral Group of Companies’ policies, procedures, and other associated legislation.

5.2. Other related duties, as assigned.

The successful candidate will possess the following:

Education

- Degree or diploma in Civil Engineering, Construction Engineering Technology, Construction Management, or related field.

Experience

- Two (2) or more years of project coordination experience in construction or a related industry.
- Experience supporting residential, commercial, or multi-unit construction projects.

Knowledge, Skills and Abilities

- Working knowledge of construction project coordination, scheduling, and project lifecycle management.
- Excellent organizational and time management skills with the ability to manage multiple priorities and meet competing deadlines.
- Strong verbal and written communication skills,



with the ability to build effective working relationships with project teams, subcontractors, consultants, and clients.
- Demonstrated problem-solving and critical thinking skills with the ability to identify issues and recommend practical solutions.
- Ability to interpret construction drawings, specifications, contracts, and other project documentation.
- Ability to work independently and collaboratively in a fast-paced construction environment while maintaining a high level of accuracy and attention to detail.
- Demonstrates professionalism, accountability, adaptability, and a strong commitment to safety, quality, and continuous improvement.
- Proficiency with Microsoft Office Suite and construction management software, including MS Project, Bluebeam, Autodesk, or similar platforms.
