Position Summary
As the Receptionist – Administrative Employment Supports, you’ll be the welcoming face and friendly voice of CLGS. You’ll play a key role in supporting our office operations while providing crucial administrative assistance across departments. This is an excellent opportunity for someone passionate about accessibility, communication, and making a difference in the lives of others.
Key Responsibilities
? Administrative Support
- Prepare and organize agendas, meeting minutes, and materials
- Perform document formatting, proofing, and binder preparation
- Arrange travel accommodations and meeting logistics
- Assist with document creation: reports, letters, memos
- Coordinate mailouts, scanning, photocopying, and data entry
? Front Desk & Reception
- Greet visitors and answer inquiries with professionalism and care
- Manage multi-line phones, direct calls, and relay messages
- Process incoming/outgoing mail and accept deliveries
- Maintain a tidy and welcoming reception area
- Distribute office tech (keyboards, monitors, etc.) and track inventory
? Communications & Social Media
- Assist with creating announcements and social media content
- Coordinate internal messages and support digital communication
- Collaborate with the Employment Supports Team on visual content
Qualifications & Skills ? Education & Experience
- Required: Secondary school completion
- Asset: Diploma in Business Administration or related field
- Prior experience in a receptionist or administrative support role
- Familiarity with MS Outlook, Word, and basic office equipment
? Core Competencies
- Strong verbal and written communication skills
- Excellent organization and time-management
- Attention to detail and ability to multi-task
- Ability to maintain confidentiality and professionalism
- Basic understanding of inclusive communication and customer service
- Bilingualism (French/English) is considered an asset
