Kitworks is a Toronto-based brand experience company creating custom kits, branded merchandise, PR drops, influencer kits, packaging and corporate experiences for brands and agencies.
We're growing, we're busy, and we're building out our operations team.
We're looking for a Studio + Operations Coordinator to be the welcoming face of our studio while also playing a critical role in keeping our day-to-day operations running smoothly.
This is not a traditional receptionist role.
You'll be the person who knows what's coming and going, which courier is coming at 2:00, where that box went, whether the monthly program is ready to ship and whether we have enough shipping supplies for next week.
You'll work closely with our Production + Operations Manager and become an important part of the team that makes sure our projects get out the door looking great and on time.
What You'll Do
Own the Front of the Studio
You'll be the first point of contact for clients, vendors, couriers and visitors.
Receive and sign for incoming deliveries
Check incoming shipments and ensure they get to the right place
Coordinate courier pickups and local deliveries
Prepare outgoing shipments
Keep track of incoming and outgoing packages
Greet clients, vendors and visitors
Answer the studio phone and manage general inquiries
Keep the front of the studio organized and welcoming
Help manage day-to-day office needs and supplies
Support Shipping + Logistics
You'll work closely with our Production + Operations Manager to keep products and projects moving.
Book couriers and deliveries
Prepare shipping labels and documentation
Track shipments and flag delays
Maintain shipping and delivery records
Help with inventory counts and product organization
Pull and prepare products for upcoming projects
Keep shipping supplies stockedHelp organize outgoing project shipments
Own Recurring Client Programs
Kitworks manages several ongoing programs that ship on a recurring basis.
You'll take ownership of the operational details for assigned programs, including:
Preparing products and packaging
Coordinating assembly
Preparing shipping labels
Managing returned or failed deliveries
Maintaining program trackers
Preparing for the next shipment cycle
You'll become the person who knows exactly where each recurring program stands.
Help Run the Studio
Keep the studio organized and operational
Monitor office and shipping supplies
Order supplies when needed
Help maintain organized product storage
Coordinate building or office-related needs
Support production and assembly days
Help keep the studio looking polished and professional
What We're Looking For
We're looking for someone who is organized, energetic, resourceful and genuinely enjoys being busy.
You might come from:
Events or experiential marketing
PR or an agency
E-commerce
Promotional products
Retail operations
Hospitality
Logistics or shipping
Office operations
Production
You don't need experience in all of these areas. What matters most is that you're comfortable juggling details, solving problems and taking ownership.
You'll probably be great at this job if:

You can manage 10 things happening at once without losing track of number 11
You're comfortable picking up the phone and figuring out where a package is
You don't wait for someone to tell you there's a problem before doing something about it
You're positive and professional when someone walks through the door
You're comfortable working with your hands and moving product around the studio

You're able to switch from greeting a client to dealing with a delivery without missing a beat
On track and on time is your motto
Experience
1-3+ years of experience in coordination, logistics, shipping, events, production, office/studio operations, hospitality or a related environment
Experience with couriers, shipping or receiving is an asset
Strong organizational and time-management skills
Excellent attention to detail
Comfortable with a Macbook and the Google ecosystem
Strong written and verbal communication
Ability to work independently and prioritize
Thrive working in a fast-paced, changing environment
Experience with ShipStation, Monday.com, Asana, Shopify or similar systems is an asset.

You're the person people rely on. If someone says, "Where is that shipment?", you want to know. If we're running low on shipping supplies, you notice before we run out. If a courier doesn't show up, you don't sit around waiting - you call and figure it out. And if a client walks through the door, they get a warm welcome. You're organized without being rigid, friendly without being overly formal, and comfortable getting your hands dirty when the day calls for it.

The Details
Position: Studio + Operations Coordinator
Location: Toronto, ON (downtown)
Salary: $50,000 - $58,000 depending on experience
