Sprung Studios is looking for an Office Manager to join our team in Vancouver.
We specialize in UX/UI for video games and are a globally recognized partner in the games industry. We have worked on some of the world's biggest games for clients such as EA, Microsoft, Bethesda, SEGA, and many more. We are a growing company of 70+ people across Brighton (UK) and Vancouver (Canada).
The ideal Office Manager will oversee day-to-day office operations, including coordination and facilities, while providing administrative and financial support to Senior Management. This includes bookkeeping duties such as accounts payable and receivable support, expense reconciliation, and liaising with the company's accountant/bookkeeper, as well as supporting HR with administrative tasks as needed.

The Role
Office & Facilities Management
Serve as the primary point of contact with building management/landlord for office needs, maintenance requests, and facility-related issues
Deal with internal maintenance issues within the office as they arise
Purchase office supplies and equipment,
and maintain proper stock levels
Set up desks and equipment for new hires
Keep an up-to-date inventory list of all equipment
Manage shipping and receiving of orders
Provide accounts payable and accounts receivable support, including processing and tracking invoices
Manage expense administration and receipt collection for all employees, and input into Dext
Perform basic account reconciliations (e.g., expense claims, credit card statements, petty cash)
Liaise with the company's external accountant/bookkeeper on routine bookkeeping matters, document requests, and month-end items
Flag discrepancies or outstanding items to the/Senior Management in a timely manner
Maintain organized, audit-ready financial records and filing for all bookkeeping-related documentation
HR & Culture Support
Organize team and company social events, including coordination with vendors, activities, and communication
Assist in creating quarterly newsletters to promote a positive and healthy workplace
Track vacation, time-off requests, and absences
Assist the HR Manager with PTO, sick, and WFH allowances
Support HR/Senior Management Team with ad-hoc duties as they arise/li>
Perform other duties and projects as assigned
Strong problem-solving skills, with the ability to anticipate issues and resolve them proactively and independently
Highly organized, with strong attention to detail and follow-through, particularly for financial/record-keeping tasks
Discretion and sound judgment when handling confidential financial and employee information
Comfortable working with bookkeeping/expense tools (e.g.,
Dext) and basic reconciliation processes
Clear, professional communication with employees, vendors, and external partners
Ability to manage competing priorities across facilities, events, and finance-related tasks
Qualifications
What you Bring:
Minimum of two (2) years of office administration or operations experience; bachelor's degree in Business Administration preferred
A successful track record in an office management, administrative, or coordinator support function
Experience with bookkeeping or financial administration, including accounts payable/receivable, expense reconciliation, and tools such as Dext
Advanced software skills in Google Suite, including Google Sheets for budgets, expenses, or inventory tracking
Experience coordinating office events or employee engagement initiatives
Excellent organizational and logistics skills, with the ability to manage facilities and day-to-day office operations
Comfort supporting HR with administrative tasks (e.g., onboarding logistics, documentation, scheduling)
Strong understanding of and commitment to confidentiality when handling financial and employee information
High level of autonomy and self-motivation
Excellent interpersonal, oral, and written communication skills

Salary Range: $60,000-$70,000
