Payroll Specialist Location: Ottawa, ON Work Model: 100% Onsite Schedule: Monday

Friday, 9:00 AM5:00 PM Pay Rate: $24.00 per hour Position Summary We are seeking a detail-oriented Payroll Specialist to manage end-to-end payroll processing for Canadian employees.

This role ensures accurate, timely, and compliant payroll administration in accordance with Canada Revenue Agency (CRA) requirements, federal and provincial legislation, employment standards, and applicable tax authorities.

The Payroll Specialist will process a wide range of payroll transactions, including current hires, terminations, salary changes, bonuses, taxable benefits, deductions, reimbursements, and statutory remittances.

You will work closely with Human Resources, Finance, payroll leadership, and external vendors to resolve discrepancies, support audits, maintain compliance, and continuously improve payroll operations.

Key Responsibilities Process weekly and bi-weekly payroll for Canadian employees, ensuring timely and accurate payment.

Review time entries, validate pay codes, and maintain hourly employee time records received through UKG.

Process payroll changes including new hires, terminations, salary adjustments, bonuses, taxable benefits, deductions, and off-cycle payments.

Review and process manual payroll inputs, off-cycle transactions, and Live

Link submissions in accordance with provincial legislation and company policies.

Conduct end-to-end payroll audits to verify accuracy, identify exceptions, and meet all payroll deadlines.

Support the Payroll Manager with year-end processing, including T4s, RL-1s, tax remittances, registrations, amendments, and statutory filings across current and legacy legal entities.

Manage Workers Compensation and Employer Health Tax (EHT) reporting and remittances, ensuring accurate and timely filings.

Coordinate with third-party payroll processing teams to ensure data accuracy, timely issue resolution, and audit readiness.

Own historical timekeeping corrections for Canadian entities and proactively resolve discrepancies.

Process payroll-related reimbursements and top-ups, including expenses, overtime premiums, short-term disability, parental leave, and maternity leave payments.

Set up, maintain, and manage correspondence related to garnishments, support orders, and tax levies; act as a liaison between employees and relevant agencies.

Audit federal and provincial withholding taxes for new and existing employees, including approval of tax elections as required.





Investigate and resolve ADP direct deposit discrepancies to minimize payment delays.

Coordinate internal and external payroll audits, providing accurate documentation and timely support.

Respond to payroll reporting requests and inquiries from employees, Human Resources, and management.

Serve as a primary contact for payroll inquiries, managing MyThales cases and email communications with clear, accurate, and timely resolutions.

Identify process improvement opportunities while maintaining strong internal controls, compliance standards, and data accuracy.

Minimum Qualifications Bachelors degree in Business, Finance, Accounting, Human Resources, or a related field; an equivalent combination of education and progressive payroll experience will be considered.

Demonstrated subject matter expertise in Canadian payroll operations, including federal and provincial payroll legislation, taxation requirements, statutory reporting, and regulatory compliance.

Experience working in complex, high-volume, multi-entity payroll environments.

Basic understanding of payroll tax filings, registrations, remittances, and regulatory frameworks across multiple provinces and legal entities.

Experience working within a shared-services or matrixed organization, with an understanding of end-to-end HR, compensation, and financial cycles.

Ability to interpret complex payroll, tax, and workforce data; assess risk; make sound decisions; and escalate issues appropriately.

Strong Excel skills, including formulas, data analysis, pivot tables, and reporting.

Proven ability to manage multiple priorities in a fast-paced environment while maintaining accuracy, compliance, and internal control standards.

Exceptional attention to detail, organizational skills, and a continuous-improvement mindset.

Excellent written and verbal communication skills.

Preferred Qualifications Experience with payroll and time-and-attendance systems, including ADP, UKG, and Workday.

Experience in a SOX-controlled or highly regulated environment, including audit and internal-control frameworks.





Experience processing payroll across multiple Canadian provinces and/or legal entities within a complex organization.
