The Mail Room & Administrative Assistant plays akey role in supporting the day-to-day operations of the organization byensuring the efficient handling and distribution of incoming and outgoing mail,documents, and business correspondence. This position provides administrativesupport across multiple departments, maintains document management processes,and assists with a variety of operational activities. The incumbentcollaborates with employees, branch offices, brokers, courier services, andexternal vendors to facilitate the timely flow of information and support thesmooth operation of business functions. Backup support for reception, documentassembly, and other administrative responsibilities is also an important aspectof the role.
Key Responsibilities :
Receive, sort, distribute, and prepare incoming andoutgoing mail, courier shipments, and registered mail.
Print, assemble, distribute, and track policydocuments, business correspondence, and materials received through corporatemailboxes.
Ensure mail and documents are processed accurately andwithin established service timelines.
Maintain filing systems, administrative records, anddocument archiving processes.
Provide administrative support for broker services,including supply requests, shipments, and onboarding activities.
Review and reconcile courier and postage invoices,investigate discrepancies, and maintain related records.
Support day-to-day office operations through a varietyof administrative and operational tasks.
Provide backup support for Reception, DocumentAssembly, claims cheque processing, office supply ordering, and other duties asassigned.
Qualifications and Experience
High school diploma or equivalent.
Previous office administration experience, preferablyin a mail room, records management, or administrative support environment.
Experience in an insurance or professional officesetting is considered an asse t.
Skills and Competencies
Strong attention to detail and accuracy.
Excellent organizational and time management skills.
Strong interpersonal and communication skills.
Professional customer service and telephone etiquette.
Proficiency with Microsoft Office applications,including Outlook.
