We are looking for a welcoming and organized Receptionist to support an office in Coquitlam, British Columbia on a Contract basis.

In this front-line role, you will create a positive experience for visitors, callers, community members, and service partners while keeping reception and administrative activities running smoothly.

The successful candidate will balance professionalism, discretion, and responsiveness in a busy public-facing setting.

Responsibilities: Welcome visitors, identify the reason for their arrival, share appropriate general information, and guide them to the correct staff member, department, meeting space, or service area.

Manage a multi-line phone system by answering incoming calls promptly, relaying messages, transferring inquiries, and escalating urgent or sensitive matters when needed.

Offer considerate support to Elders, people with accessibility needs, and others who require help navigating the office or accessing services.

Handle incoming and outgoing mail, courier packages, and cheques by logging, sorting, date-stamping,



distributing, and preparing items for delivery or pickup, including post office and mailbox runs.

Monitor building entry activity and follow established security, emergency, evacuation, privacy, and safety procedures at the reception desk.

Keep directories, reception logs, forms, bulletin boards, spreadsheets, and other administrative records current and organized.

Track inventory for reception, hospitality, office, and stock room supplies, place orders as required, and report equipment or replenishment needs to the Office Manager.

Prepare beverages and refreshments for visitors, Elders, meetings, and community gatherings, and help maintain a tidy and welcoming front office environment.

Provide administrative assistance to the Office Manager, support meetings and events requiring reception coverage, and communicate procedures clearly to relief staff when needed.
