Fundraising Database Administrator Organization: Nkind
Location: Ontario, Canada (Hybrid/Remote options available)
Employment Type: Full-Time
Reports To: Executive Director
Salary Range: $55,000 – $65,000 (commensurate with experience)
About Nkind Nkind is a registered Canadian charity providing free in-home relief and psychosocial support to children whose parent has cancer, is in palliative care, or has died. Since 2009, we've been showing up for families in their hardest moments — giving kids space to just be kids, and parents the support they need to be present for the time they have. Our small, dedicated team relies on strong donor relationships and clean, reliable data to keep that support flowing.
The Opportunity Nkind is seeking a detail-oriented, self-motivated Fundraising Database Administrator to manage and optimize our Bloomerang CRM. This role is the backbone of our fundraising operations — ensuring every gift, every donor interaction, and every campaign is accurately tracked, reported, and actionable. You'll work closely with the Executive Director and development team to turn clean data into stronger donor relationships and smarter fundraising decisions.
This is a great fit for someone who finds satisfaction in systems and structure, but who also understands that behind every record in the database is a real person who chose to support kids facing an unimaginable loss.
Key Responsibilities Database Management Serve as the primary administrator of Nkind 's Bloomerang CRM, ensuring data integrity, consistency, and accuracy across all records
Process and reconcile gift entries, pledges, recurring donations, and in‑kind contributions in a timely manner
Maintain donor records, including contact information, giving history, communication preferences, and relationship notes
Manage data imports/exports, de‑duplication, and regular database clean‑up
Reporting & Analysis Generate accurate, timely reports on fundraising performance, campaign results, and donor trends for the Executive Director and Board of Directors
Build and maintain dashboards to track KPIs (retention rate, average gift size, lapsed donors, etc.)
Support year‑end tax receipting and ensure CRA compliance for charitable donation records
Donor Communications Support Segment donor lists for targeted appeals, newsletters, and event invitations
Support acknowledgment and tax receipt processes, ensuring timely and accurate donor communications
Partner with the development team to track moves‑management activity and donor stewardship touchpoints
Systems & Process Improvement Recommend and implement process improvements to increase efficiency and data accuracy
Maintain data entry protocols and train staff/volunteers on proper CRM use
Troubleshoot Bloomerang issues and liaise with Bloomerang support as needed
Support integrations between Bloomerang, FundraiseUp, and other tools (e.g., email marketing platforms, event registration systems), optimizing donor experience and conversion across platforms.
Work with the marketing team to build and maintain automated workflows within Bloomerang and Mailchimp including gift acknowledgments, recurring giving reminders, lapsed donor triggers,
and campaign follow‑up sequences.
Qualifications Required 2+ years of experience managing a donor database, ideally Bloomerang (or comparable CRM such as Raiser's Edge, DonorPerfect, or Salesforce NPSP); experience with online giving platforms like FundraiseUp is an asset.
Solid attention to detail and a high degree of accuracy in data entry and reporting
Proficiency in Excel/Google Sheets; comfort working with data exports and pivot tables
Excellent organizational skills and ability to manage multiple priorities independently
Understanding of fundraising principles, donor stewardship, and the donor lifecycle
Preferred Experience in the nonprofit or charitable sector, particularly with small teams
Familiarity with CRA charitable receipting requirements
Experience supporting direct mail, email, or digital fundraising campaigns
Bloomerang certification or formal CRM training
Familiarity with AI-powered fundraising tools and experience building CRM automations to improve donor engagement and operational efficiency.
What You'll Bring A genuine belief in Nkind 's mission and the families we serve
Comfort working independently in a small, close‑knit team environment
A problem‑solving mindset and willingness to jump in wherever needed
Discretion in handling sensitive donor and family information
What Nkind Offers A meaningful role where your work directly supports children and families in crisis
Collaborative, mission‑driven team culture
Opportunity to shape and improve fundraising systems from the ground up
Nkind is committed to building an inclusive, diverse team. We encourage applications from all qualified candidates, including those from equity-deserving groups.
