Operations Administrator for leading professional education services provider, downtown Toronto office.
Job Type: Temporary.
Existing Vacancy: Yes.
Initial Term: ASAP for a 12-month term, with possibility of direct-hire.
Compensation: From $28 to $31 per hour, according to experience.
Regular Work Hours: 9 am to 5 pm not including 1-hour unpaid lunch break, Monday to Friday (35 work hours per week).
Work Location: Hybrid - combination of 2 days remote-based and 3 days onsite at client's Toronto office near TTC / Union and GO Stations.
Onsite Dress Code: Corporate or business casual according to client business requirements.
Responsibilities Summary:
Ensure smooth execution and maintenance of contract agreements and course enrollments, including configuration and testing of enrollment and billings portals and systems, processing enrollments, and responding to client inquiries via email and ticketing systems. Will coordinate with Finance on invoicing and billings matters, monitor client spends, and prepare reports. Will exercise precision, timeliness and team-oriented skills to ensure clients receive a seamless experience across the full contract life cycle.
Complete client account setups, entering contract information into internal documentation and billings systems.
Configure and maintain client enrollment URLs, authorization queues, corporate portals, and learning hubs, including testing and validation before launch.
Process batched and individual course enrollments.
Manage and triage client inquiries and CRM tickets, ensuring timely resolution and escalation when required.
Support client billing and invoicing requirements across various payment options.
Manage billing account transitions for replacement agreements and coordinate changes with Finance and Account Management to minimize service disruption.
Monitor account and operational metrics and provide reports to team.
Track contract milestones, including reviews, renewals, expiries, and closures.
Coordinate across internal teams to respond to client inquiries and resolve identified issues.
Maintain accurate records with confidentiality and discretion.
Additional business operations administration responsibilities as required.
Qualifications:
Education: Bachelor's Degree or equivalent combination of education and work experience.
Preferred Work Experience: Approximately 1-3 years of experience in an administrative, operations, client support, or similar role.
Preferred Sector Experience: Experience in financial services, education, professional development, or related industry.
Technical and Language Skills Requirements:
Advanced proficiency with MS Excel, Word, PowerPoint, and Outlook (will be tested)
Superior data entry skills and attention to detail (will be tested).
Demonstrated advanced proficiency with SalesForce (may be tested).
Strong communication skills, both written and verbal, including advanced level business writing skills (may be tested), and professional telephone manners.

Demonstrated experience with billing, invoicing, or contracts administration.
Superior attention to detail, and organized, methodical approach to completion of tasks.
Punctual,
responsible, and reliable. Demonstrated record of professional conduct and character.
Focused and able to work effectively with minimal direction and supervision, to prioritize tasks effectively, and to manage volume targets and due dates.
Proficient de-escalation skills, with excellent listening skills, and the ability to provide and receive effective feedback.Proven ability to professionally handle confidential information and exercise good judgement in the interpretation and application of instructions and organization policy.
Demonstrated ability to work well both independently and collaboratively, and in an advisory capacity, and liaise effectively with a diverse range of internal and external stakeholders.
Additional Requirements:
Must be legally entitled to work in Canada, providing satisfactory documentation upon request.
Ability to work both remotely and onsite, abiding by organization health and safety policies.
Ability to promptly provide qualified employment references upon request who are available to speak with either Marberg or Marberg's client.
Ability to declare personal Non-Conflict of Interest in execution of assignment responsibilities.
Provision of certification of AODA and OHSA online training course completion prior to assignment start.
