The Client Services
Specialist is a hands-on operational role responsible for supporting daily office operations, documentation processes, and brokerage service coordination across the office. This role acts as a key operational partner to the Managing Director and Senior Operations Manager, ensuring accuracy, efficiency, compliance, and service consistency. The base salary is aligned with market data and is estimated to range from $57,000-$65,000 with the ability to achieve additional compensation through a bonus.
Within this range, individual pay is determined by work location and other factors, including relevant education/training, experience, and internal equity. This posting is for an existing vacancy within our organization. Independently manage complex client deliverables, projects, and support activities with minimal oversight.
Coordinate and execute complex pursuits, marketing initiatives, proposals, presentations, and other client service deliverables. Serve as a key liaison between brokers and internal centers of excellence, ensuring seamless collaboration and execution.
Develop strong partnerships and trusted advisor relationships with brokers to understand and support business objectives.
Anticipate business needs and proactively identify solutions, opportunities, and strategic approaches to support client and business outcomes. Partner with brokers to deliver high-quality client service and support business development, transaction, and revenue-generating activities. Take ownership of complex projects and deliverables from initiation through completion, ensuring quality, accuracy, and adherence to deadlines.
Contribute to the development, implementation, and continuous improvement of processes, standards, and best practices to enhance operational efficiency. Provide guidance, mentorship, and knowledge sharing to Client Services Coordinators and peers, fostering professional development and team effectiveness. Demonstrate strong project management, organizational, and problem-solving skills while managing multiple priorities in a fast-paced setting.
Administration
Preparation, control, and maintenance of legal documents (letters of intent, offers, proposals, commission agreements, listing agreements, amendments, waivers, extensions, and Multiple Listing Services agreements) throughout the deal and due diligence process Maintain records of correspondence for property listings with agents and update client reporting as required Work closely with agents on various initiatives and special projects Schedule meetings, appointments, property tours and travel plans Provide administrative support for internal and external correspondence including file management, scanning, photocopying,
organizing and distributing marketing materials Assist with preparation, coordination and assembly of marketing materials for property listings, including brochures, email communications, invitations, signage, and announcements, while maintaining the Avison Young brand throughout all projects Update listings on Avison Young website and other locations as advised Conduct market information research through various sources including CRM and third-party databases such as MLS, Altus, CoStar etc. Prepare property availability surveys and other applicable research and marketing collateral relevant Update CRM database with current market and client information 3+ years of experience in operations coordination, administrative operations, or commercial real estate support ~ Strong understanding of real estate documentation, compliance, and transaction processes (commercial experience preferred) ~ Ability to manage multiple priorities in a fast-paced, service-driven environment ~ Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint) ~ Experience with CRM systems, MLS, CoStar, Altus, or similar platforms is an asset ~ Strong communication, proofreading, and stakeholder coordination skills ~ Service orientation and responsiveness ~ On-Site We are committed to building and maintaining a workforce diverse in experience, skills and knowledge with uniformity in service excellence, commitment and integrity.
