About the Role
We are seeking a highly organized, proactive Website Project Manager to own day-to-day project execution for our active client accounts. This covers new custom website builds, ongoing client retainer requests, and ad hoc technical troubleshooting.
You are the primary operational bridge between our clients and our technical delivery teams. The role is focused squarely on driving project momentum: translating client requests into structured developer tasks, running daily developer check-ins, reproducing and debugging issues, and making sure deliverables meet our quality standards before they reach the client.
You do not need to write custom code, but you do need to understand website architecture well enough to reproduce bugs, draft actionable technical tickets, and lead technical client discussions with confidence. You will work directly with the Senior Operations Manager, who handles agency-wide systems, capacity planning, and high-level escalations — so you can stay focused on project delivery and developer execution.
How the Role Works Day to Day
Your workload spans three active delivery streams - Senior Operational Manager is working alongside to support you continuously.
1. New website builds (~60% portfolio load): Managing assigned builds from kickoff to launch — gathering assets and technical requirements, building milestone schedules, writing detailed developer tickets, checking staging builds, running pre-launch QA, and leading client review rounds.
2. Retained accounts and ongoing requests (~20% portfolio load): Processing change requests, page additions, and content updates from active retained clients. You triage incoming requests, verify scope boundaries, queue tasks for development, and keep client communication prompt.
3. Technical triage and ad hoc debugging (~20% portfolio load): Acting as first line of response for reported site issues or broken functionality. You reproduce bugs using browser tools, gather diagnostic context (URLs, device and browser details, error logs), resolve basic CMS issues directly, or hand clean, actionable tickets to the development team. Quality checking as a final stage before communicating task completion to the client or Senior Operations Manager.
Daily Rhythm
- Morning sync with the Senior Operations Manager: a focused daily check-in to review developer capacity, identify at-risk timelines, address technical blockers, and escalate account issues.
- Continuous execution: coordinating daily with developers and specialists, running staging QA checks, leading client status updates over Zoom and email, and keeping task boards accurate.

- Project execution:
Drive end-to-end delivery across active agency projects — managing schedules, developer workloads, and milestone momentum.
- Developer and team liaison: Translate client requests into precise, unambiguous technical tasks. Sequence daily development work to eliminate downtime and keep specialists unblocked.
- Technical debugging and triage: Reproduce and diagnose reported issues to minimize developer clarification cycles.
- Client communication: Serve as the main contact for assigned accounts — leading kickoffs, sending proactive status reports, and managing expectations.
- Scope protection: Spot scope creep early during client interactions and route additional feature requests to the Senior Operations Manager for formal quoting.
- Quality assurance: Perform hands-on QA reviews on staging environments — mobile responsiveness, form submissions, link checks, and layout integrity — before client presentation.
- Blocker escalation: Surface delivery bottlenecks, complex technical roadblocks, and client challenges to the Senior Operations Manager early.
The Technical Bar You should be comfortable with:
- Navigating WordPress admin confidently — pages, posts, menus, media, users, plugins, and themes
- Page builders, and editing content or layouts without breaking things
- Forms, integrations, and basic troubleshooting when a submission does not arrive
- Staging versus production, and why changes are made in the right place
- Basic concepts around hosting, domains, DNS, SSL, and redirects — enough to know who to route an issue to
Qualifications and Experience
- Experience: 3+ years in project management, account management, or technical coordination — preferably within a digital marketing, web development, or agency environment.
- Education and certifications:
– Post-secondary education in project management, business, marketing, communications, technology, or a related field is an asset — though practical agency experience is valued most highly. – PMP, CAPM, or Scrum certifications are an asset, but not required.
- Core project capabilities: A proven track record of managing multiple web builds and client retainers at once, coordinating cross-functional teams, protecting scope, and communicating directly with clients.
- Technical and web knowledge: Strong working knowledge of website development workflows, CMS platforms (specifically WordPress), basic staging and hosting concepts, and general digital marketing (SEO, content, design).
- Tools and systems: Hands-on experience with project management platforms (for example, Monday.com, Notion, ClickUp, etc.), support ticketing workflows, page builders, and QA/debugging tools.

- High responsiveness: Consistently quick to respond across email, project boards, and team messaging channels.
- Collaborative mindset: Strong team alignment and comfort surfacing blockers early, working alongside a Senior Operations Manager who provides operational backing, resource guidance, and escalation support throughout every project.
- Attention to detail: Be focused and intelligent to analyze and question each scenario, and pay attention to the fine details for the project to ensure quality is delivered every time.
Nice to have
- Experience managing ongoing retained accounts, not only one-off project builds.
- Familiarity with SEO, content, or design workflows — enough to coordinate them.
- Experience with a formal QA or launch checklist process.
- Comfort estimating and scoping small pieces of work for quoting.
Tools We Use Project management and task tracking platforms, WordPress and common page builders, shared drives and asset management, Zoom, email and Microsoft Team messaging, and a support ticketing workflow. We will train on our specific stack — general fluency matters more than tool-for-tool matches.
CONTRACT TERM - 6 MONTHS The contract is for 6 months, with a mutual option to continue as projects develop.
Success in the First 90 Days
- First 30 days: Complete onboarding across all active client accounts, establish the daily check-in routine with the Senior Operations Manager, and independently manage developer tickets and client communication on assigned builds.
- First 60 days: Independently triage incoming technical support tickets, produce developer task briefs that need no clarification rounds, and run kickoff and review calls smoothly.
- First 90 days: Fully own execution across allocated active projects, with clean developer handoffs and accurate project boards maintained with minimal supervision.
How Success Is Measured
- Website builds and client requests delivered on schedule and within scope.
- Client satisfaction and responsiveness — no client left waiting without an update.
- Clean, complete developer handoffs that produce minimal rework or back-and-forth.
- Issues triaged accurately, with genuine risks escalated early rather than late.
- Project boards and records accurate enough that status is visible without asking.
- Scope changes identified and routed for quoting rather than absorbed unbilled.
