About the Company
Mavrix Knowledge Corporation (formerly Azure Knowledge Corporation) is a Toronto-headquartered market research and data-analytics firm serving blue-chip and Fortune 500 clients across North America, with delivery and R&D; operations in the United States and India. The business has grown from roughly CAD 12 million in revenue in 2023 to approximately CAD 19–22 million today, with a 51% gross margin, a zero bad-debt track record, a proprietary data-collection platform (SurveyByte). Mavrix is entering its next phase of growth and is building out its global tech and finance teams to support it.
Position Overview
The Head of Finance owns the full finance function end-to-end — from day-to-day bookkeeping, payroll, and collections through to financial modelling, banking strategy, and investor conversations. This is a blended role: equal parts hands-on operator and strategic partner to the owner. The Head of Finance is the single point of accountability for the company's financial health, its banking and funding relationships, and the accuracy and timeliness of everything financial, while also overseeing broader operational finance areas such as insurance and incentive-payment operations.
Key Responsibilities
1. Financial Control, Review & Reporting
- Own the full accounting cycle and month-end/quarter-end close for the combined Canada–US–India group.
- Prepare consolidated financial statements — balance sheet, profit & loss, and cash flow — under Canadian ASPE, along with management dashboards and business-performance analysis.
- Lead the annual review engagement and act as primary liaison with external accountants; coordinate any Big Four or comparable top-tier audit engagements as the company's needs scale.
- Maintain robust internal controls, chart of accounts, approval frameworks, and clean, audit-ready books.
2. Accounts Receivable, Billing & Collections
- Manage end-to-end invoicing, accounts receivable, and unbilled/work-in-progress tracking.
- Drive collections — follow up directly with clients' finance departments to reduce Days Sales Outstanding (DSO).
- Protect the zero bad-debt record and manage EDC-covered receivables.
3. Accounts Payable, Vendor & Respondent Incentive Management
- Own accounts payable, vendor onboarding/finalization, and payment scheduling.
- Negotiate vendor terms and pricing to optimize cost and cash cycle.
- Lead financial operations for participant, respondent, expert, and research-related incentive payments, administered via PayPal, Tremendous/Global Reward, and similar global payout platforms.
- Establish controls for incentive-payment authorization, distribution, reconciliation, fraud prevention, and exception management.
- Build and maintain a robust, auditable system for accurate, timely incentive distribution to survey respondents across all studies, platforms, and geographies.
- Treat incentive distribution as a brand-equity function — recognizing that timely, transparent, and fair respondent payouts directly shape panel trust, response quality, and Mavrix's reputation with respondents and the wider research community.
- Design and manage a loyalty and recognition programme (e.g., tiered rewards, milestone bonuses, points-based recognition) for repeat and high-value respondents to improve panel retention and reduce respondent-acquisition costs.
- Drive procurement of incentive-distribution platforms and educate the Sales and Delivery teams on the most feasible, cost-effective incentive options for each study type, audience segment, and geography.
- Negotiate commercial terms with incentive-platform providers to secure the most competitive respondent offerings at the lowest operational cost and administrative burden, while ensuring ease of use for panel and delivery teams.
- Extend oversight to offline incentive and assessment management, including profiling and cataloguing respondents from offline/in-person studies to build and maintain a structured, reusable respondent database.
4. Treasury, Banking & Financing
- Own the banking relationship (Canada & US banking); manage the operating line of credit and term facilities day-to-day.
- Negotiate operating lines, credit facilities, loans, and other borrowing arrangements; source better and cheaper funding options.
- Ensure covenant compliance (Debt Service Coverage, Funded Debt/EBITDA) and deliver all bank reporting and compliance certificates on time.
- Manage multi-currency cash flow and cross-border CAD/USD/INR treasury, including foreign exchange and cross-border payments.
5. FP&A; — Modelling, Forecasting & Feasibility
- Build and maintain three-statement financial models, budgets, and rolling forecasts.
- Produce project-wise feasibility and margin analysis to support bids and pricing decisions.
- Deliver scenario and sensitivity analysis for growth, acquisition, and financing decisions.
6. Fundraising & Investor Relations
- Prepare investor-ready materials, data rooms, and financial narratives.
- Support private-equity and institutional-funding activities in North America, including financial modelling and due diligence, and support conversations with prospective investors and lenders for future funding rounds and M&A.;
7. Payroll, Compliance & Government Incentives
- Manage payroll across Canada (and coordinate US/India) accurately and on schedule; oversee insurance administration.
- Ensure statutory compliance — GST/HST, payroll remittances, T4s, and corporate filings — with zero penalties.
- Identify, apply for, and manage Canadian government incentives and grants (e.g., SR&ED;), and optimize recoverable government remittances.
8. Team & Process Leadership
- Implement scalable financial processes, systems, controls, and approval frameworks as the company grows.
- Build and lead the finance team over time; partner with senior leadership and operational teams to improve profitability, financial visibility, and business decision-making.
