About Apollo
Apollo Shareholder Relations is an investor relations and communications firm working with publicly traded companies. We help clients tell their story, reach new investors, manage shareholder engagement, and run coordinated content and digital marketing programs.
We are a small team, which means this role touches a lot of the business and your work is visible from day one.
The Role
This job is roughly 70 percent client program delivery and 30 percent internal and executive support.
On the client side, you are the point of coordination between Apollo, our clients, and outside vendors. You keep programs organized, move approvals along, hold the timelines, and make sure clients hear from us consistently.
On the internal side, you keep Apollo's leadership organized: calendars, follow-ups, documents, and the small things that fall through when nobody owns them.
We are looking for someone who brings structure to busy work, chases the loose ends without being asked, and can move between a client email and an internal to-do list without losing either.
This is a fully remote role open to candidates across Canada, with occasional travel to industry conferences.
Client Program Responsibilities
- Own day-to-day delivery on assigned client programs and keep everything on schedule
- Build and maintain content calendars, campaign schedules, and project timelines
- Post, schedule, and organize content across client channels
- Run the approval process: route drafts, track revisions, keep sign-off moving
- Keep organized records of approved content, assets, and project materials
- Communicate with clients on progress, deadlines, and outstanding items
- Coordinate with designers, media partners, and other outside vendors
- Prepare monthly client reports covering completed work and program progress
- Help create and edit social posts, emails, presentations, and website copy
- Spot scheduling conflicts and delivery risks before they reach the client
Internal and Executive Support Responsibilities
- Coordinate meetings, internal schedules, and follow-ups for Apollo's leadership
- Maintain internal calendars, task lists, project records, and company documents
- Keep files organized so information is easy to find
- Help prepare presentations, reports, and proposals
- Chase team members, clients, and vendors on outstanding information and deadlines
- Support internal planning and help leadership stay on top of time-sensitive items
- General administrative work and special projects as they come up
What You Bring
- Two or more years in a role where you managed multiple deadlines and stakeholders at once. Account management, project coordination, executive assistance, marketing, communications, or client service all count
- Strong organization and follow-through. You close loops without being reminded
- Clear, qualified writing. Much of this job is written communication
- Technologically confident. You learn recent platforms quickly and are not intimidated by AI tools
- Sound judgment and real discretion. We work with public companies, which means you will regularly know things before the market does. Handling that carefully is a condition of the role, not a nice to have
- Comfortable working independently while staying closely connected to a small team
- Comfortable with occasional travel to industry conferences
Assets, not requirements: familiarity with public companies, investor relations, or capital markets. Agency or marketing background.
Tools
You will not need all of these on day one. Experience with any of them is an asset:
- AI tools such as Claude or ChatGPT as part of daily work
- Microsoft 365: Word, Excel, PowerPoint, Outlook, Teams
- Mailchimp or another email marketing platform
- Social media scheduling and publishing tools
- Canva, or Adobe Creative Suite
- Project management and content calendar software
- Digital advertising and reporting platforms
Pay
$55,000 to $70,000 a year
