This position provides front-line bilingual reception and administrative support for the PSC and is often the primary contact for clients, applicants, candidates, the general public, government departments, and Health PEI, in both official languages. This position is responsible for entering application data and generating PeopleSoft pre-screening reports, as well as creating, organizing, and reviewing competition files before they go to the Staffing Consultants and/or HR staffing representatives. This position provides staff and client support for online applications and website postings, in addition to other general administrative duties, to ensure the PSC main office runs efficiently.
Duties will include:
- Responding to a large number of wide-ranging inquiries from the general public, employees, managers and HR representatives of Provincial Government departments and Health PEI, in both official languages, or referring them, if necessary, to the appropriate individuals,
all while maintaining confidentiality.
- Managing competition files for Staffing Consultants/HR Departmental Representatives
- Being cross-trained to assist or backfill other divisional Administrative Support staff
- Providing guidance, support, and applicable one-on-one training to summer students, OJT students, and casual employees
- Serving as main contact or liaison for JobsPEI website and assisting applicants who wish to apply online
- Participating in the development, implementation and evaluation of office procedures and policies,
Minimum Qualifications:
- Must have completion of a related diploma, such as office studies or business, or completion of another related post-secondary program;
- Must have considerable experience working with the public;
- Must have related administrative experience;
- Must have proven experience working with computers in word processing, email, spreadsheets, Internet, etc;
- Must have exceptional attention to detail
- Demonstrated equivalencies will be considered.
- This is a bilingual position. Advanced oral proficiency in English and French is required;
- Excellent written communication skills in English and French
- Must be willing to be cross-trained for other administrative support duties within the Division;
- Must be able to work well under pressure in a multi-tasking environment.
Other Qualifications:
- Training and/or experience in the HR field is an asset;
- Working knowledge of PeopleSoft is a strong asset;
- Knowledge and experience using JobsPEI (or other digital recruitment platforms) is a strong asset.
