Duties and Responsibilities:
The Office Assistant for Physical Plant is the administrative hub for Physical Plant, coordinating service requests, responding to inquiries, and supporting departmental operations.
Responsibilities include assisting with timesheets and payroll documentation, maintaining records and databases, keeping track and ordering office supplies, mail sorting duties, and providing administrative support to staff with work orders, procedures, and related processes.
Key responsibilities also include supporting campus security access systems, including card access, door controls, key inventories, coordinating building access and event security requirements, troubleshooting access issues, and communicating campus maintenance, safety, and security concerns. Other relevant duties as assigned.
Required Qualifications and Experience:
Minimum Grade 12 plus an Office Administration certificate and 3 years’ related experience is required, or a combination of education and experience.
The ideal candidate will have a demonstrated ability to manage multiple priorities and frequent interruptions while providing exception customer service to both internal and external clients. To be successful in this role, the successful candidate will be a highly motivated, self-starting team player who works effectively with minimal supervision. They will possess strong organizational and multitasking skills and have a demonstrated commitment to delivering exceptional customer service. Proficiency with the Microsoft Office Suite is required.
Experience with work order software, such as FAMIS 360, is considered an asset. Familiarity working in a unionized environment would be an asset.
