About the Job
Under the leadership of the Accounting Manager, the Accounting Clerk will be responsible for supporting a range of accounting functions, including accounts payable, accounts receivable, expense processing, client billing and general financial administration.
This role requires a detail-oriented and resourceful individual with strong accounting knowledge and excellent organizational skills. The successful candidate will thrive in a fast-paced environment, demonstrate sound judgment, and take pride in delivering accurate work on tight deadlines.
Your attention to detail, ability to analyze large amounts of data, and commitment to process improvement will contribute to the efficiency and accuracy of the firm’s accounting operations. Strong communication and interpersonal skills are essential, as this role interacts regularly with lawyers, staff, clients, and external vendors.
The key responsibilities of this role are:
Accounts Payable:
- Review and verify invoices and expense reports for accuracy and completeness.
- Prepare and process payments (EFT, wire, cheque) in accordance with firm payment cycles.
- Maintain and update vendor records and respond promptly to vendor inquiries.
- Accurately post all vendor invoices and client disbursements.
- Scan and save all AP invoices for record-keeping and audit purposes.
- Reconcile and post firm credit card charges.
- Research and resolve payment discrepancies.
- Balance the sub-ledger and communicate month-end details to the team.
Accounts Receivable:
- Monitor accounts receivable and conduct proactive follow-up in accordance with firm policy.
- Coordinate with the Billings team to ensure prompt billing of third-party client disbursements.
- Post expense recoveries and prepare related reports.
- Monitor accounts receivable aging reports and follow up on overdue accounts to facilitate prompt collections.
- Maintain accurate records of all financial transactions and client interactions related to accounts receivable.
- Assist with the preparation of financial reports related to accounts receivable and provide insights on collections and outstanding balances.
- Ensure compliance with internal accounting policies and legal regulations regarding billing and collections.
- Provide support to accounting team where necessary and flexibility to handle other related duties as required.
Billing:
- Manage billing and invoicing cycles to ensure accuracy and timeliness.
- Provide prompt and effective support to lawyers regarding billing and account inquiries.
- Maintain the WIP list, processing disbursements, write-offs, write-downs, and transfers.
- Draft client accounts, coordinate lawyer review and approvals, and liaise with legal assistants throughout the process.
- Revise and finalize accounts; issue final invoices electronically or through alternative delivery methods (e.g., mail, e-billing platforms).
- Understand and adhere to client-specific billing requirements, including the preparation of customized invoice formats or supporting documents.
- Ensure firm records properly reflect client addresses, identity and other client-related information in accounting software, using billing notes and other required options in Client and Matter master files.
- Set up new e-billed client profiles and systems and dealing with client e-billing matters.
- Respond to client requests for estimates and accruals, extra summaries / billed to date information, and meeting clients’ due dates.
- Coordinate to client charitable donation arrangements.
- Prepare and assist with year-end summaries and reporting requests.
- Ensure accurate and timely filing of client billing materials using the DMS (document management system)
General Accounting Support:
- Manage lawyer and client billing rates in Clio.
- Assist with month-end and year-end financial closing procedures.
- Collaborate with team members to resolve discrepancies and ensure data accuracy.
- Support general and trust audits and ensure compliance with Law Society requirements.
- Conduct conflict checks as required.
- Prepare weekly status updates and other reports as requested.
- Perform other duties and special projects as assigned.
What you will bring to this role:
- Bookkeeping or accounting certification.
- Minimum of 3 years of experience in accounts receivable, preferably in a law firm or professional services environment.
- A working knowledge of QuickBooks required
- Sound reasoning and understanding of accounting principles is mandatory
- A resourceful self-starter, with a proven ability to work independently
- Strong sense of task ownership and attention to detail
- Proficient understanding of MS Office including Excel
- Exceptional verbal and written communication skills
- Effective time management skills with ability to prioritize and multitask
- Experience with legal practice management software (e.g., Clio) is a plus.

Employment Type: Permanent, Full-Time. This position is located in our Toronto office, and it is not a current position.
Salary Range: $60,000 - $75,000, depending on level of experience and other factors.
