Administrative Assistant |
We are seeking an energetic, highly organized, and professional individual with a strong work ethic to join our team. This position provides administrative support to the firm’s Managing Partner and Human Resources department, while acting as a key point of contact for clients, visitors, and external inquiries. The successful candidate will deliver a high level of confidential and complex administrative support, coordinate a range of day-to-day office and HR activities, and help ensure the firm operates efficiently and professionally.
Duties and Responsibilities
- Prepare engagement letters, employment agreements, HR documents, forms, presentations, and other related materials;
- Maintain HR team calendars and coordinate meetings, interviews, events, agendas, reservations, and courier services;
- Maintain organized HR filing systems and related records;
- Support the recruitment process, including preparing job descriptions, posting advertisements, screening candidates, and assisting with hiring activities;
- Support compliance with applicable federal, provincial, and local legislative requirements by reviewing legislation and assisting with adherence to requirements;
- Respond to and support external HR-related inquiries and requests;
- Manage general office organization, maintenance, supply inventory, and office equipment functionality, and coordinate IT and general building issues as required;
- Provide occasional reception coverage by greeting and assisting clients, visitors, and couriers, and managing incoming calls, emails, and general inquiries as required;
- Support internal HR initiatives and firm events by assisting with research, spreadsheet preparation and maintenance, PowerPoint presentations, report writing, and related administrative coordination as required;
- Assist the Managing Partner with special tasks and projects as needed (meeting coordination, insurance applications, document drafting,
organizing reservations, etc);
- Assist with accounts receivable reporting and payment processing;
- Prepare and issue monthly firm invoices;
- Perform other administrative duties as required from time to time.
Required Skills and Experience
- 2-3 years previous experience in an administrative role;
- Previous experience in a skilled services firm desired;
- Flexibility to work additional hours during certain periods of the year;
- Exceptional written skills with the ability to prepare professional documents;
- Strong ability in managing multiple tasks and deadlines;
- An energetic, competent self-starter looking for continuous and varying challenges;
- Ability to multitask and prioritize managing competing priorities and responsibilities at any one time;
- High degree of computer competency using Word, Excel, PowerPoint, and Outlook;
- Strong typing skills, 70+ WPM;
- High technological competence and experience working with office equipment including printers, scanner, and postage machine;
- Positive and willing attitude;
- Valid driver’s licence and vehicle are an asset;
- The ability to pass a Criminal Record Check.
