R.W. Gibson Holdings Ltd., a division of The Gear Centre Group, is currently seeking an Executive Assistant for our West Edmonton, Alberta location.

Position Overview:
We are seeking a highly organized and detail-oriented Executive Administrative Assistant to support our President, Chief Operating Officer, and Executive Office. This role includes both personal and corporate responsibilities, including financial management, property and vehicle oversight, and extensive corporate support.
Primary Responsibilities:
Personal Assistance:
- Handle personal finances, including bill payments and bank communications, and maintain financial records.
Corporate Administration:
- Supervise two administrative assistants, conduct performance evaluations, and manage work assignments.
- Reconcile corporate credit card expenses, prepare expense reports, and maintain accurate financial records.
- Support legal projects, maintain corporate and legal files, and communicate with legal counsel on trademarks and other corporate matters.
Corporate Services & Compliance:
- Oversee compliance with vehicle and facility licenses, technician licensing, and company fleet registrations.
- Oversee property and vehicle insurance renewals, prepare comparative summaries, and manage insurance documents.
- Organize documents for tax preparation, communicate with the accountant, and ensure timely tax payments.
- Manage corporate season tickets, including renewal and distribution.
- Coordinate long service awards, holiday activities, and employee recognition events.
Fleet & Equipment Management:
- Coordinate company vehicle sales, transfers, registrations, and ensure all documentation is accurate.
- Oversee maintenance and repair schedules for corporate vehicles and equipment.
- Manage the electronic logging system and coordinate logistics for core runs, equipment deliveries, and hot shot services.
Qualifications:
- Post-secondary education in Business Administration, and/or Property Management would be considered an asset
- Proficient in basic accounting principles, including accounts payable, accounts receivable, budgeting, and financial reporting
- Advanced knowledge of Microsoft Office applications including Excel, Word, and Outlook
- Strong communication skills, both written and verbal
- High level of integrity, confidentiality and professionalism are of utmost importance
- Must have a valid driver’s license with acceptable abstract as some travel may be required
