Job Summary

We are looking for a highly organized, detail-oriented Administrative Assistant to support the day-to-day operations of our academy. This role is central to keeping the office running smoothly while delivering a qualified, welcoming experience for members, parents, and prospective clients. The ideal candidate is confident with computers, communicates clearly, provides excellent customer service, and is comfortable assisting with lead follow-up and membership enrollment.

Strong multitasking skills and a professional presence are essential.

Duties

- Manage front desk operations, including greeting visitors and responding to in-person, phone, and digital inquiries
- Handle multi-line phone systems and CRM software, including lead follow-up, booking appointments, and supporting membership sign-ups
- Assist prospective clients by answering questions about programs and guiding them through the registration process
- Perform data entry, filing, and general clerical duties to keep records accurate and organized
- Support calendar management and scheduling for classes, appointments, and programs
- Provide customer support by responding to inquiries and resolving issues in a timely, professional manner
- Use Microsoft Office and Google Workspace to create documents, spreadsheets, and internal materials
- Oversee basic office management tasks such as ordering supplies and tracking inventory
- Proofread documents and communications for accuracy and clarity




- Work collaboratively with team members to ensure efficient front-desk and office operations
- Pick up children using a company vehicle for the after-school program

Requirements
- Previous experience in an administrative or front-desk role
- Strong computer skills with proficiency in Microsoft Office and Google Workspace
- Excellent organizational and time-management abilities, with the capacity to handle multiple priorities
- Comfortable speaking with clients and supporting membership inquiries and enrollment
- Valid G License, minimum age of 25, with at least 3 years of proven driving experience
- Experience with multi-line phone systems and front desk operations
- Customer service or client-facing experience preferred
- Strong attention to detail for data entry and documentation
- Ability to maintain confidentiality and handle sensitive information responsibly
- Professional demeanor in a fast-paced, customer-focused environment
