About the Role
The Board Executive Assistant provides high-level administrative and organizational support to the Board of Directors and Executive Leadership. As a trusted partner, this role ensures the smooth and efficient operation of Board activities, executive schedules, meetings, travel, and confidential communications.
The successful candidate thrives in a fast-paced public company environment and brings exceptional organizational skills, sound judgment, professionalism, and discretion when working with sensitive information and senior stakeholders.
You Will Contribute By
- Providing comprehensive administrative and organizational support to the Board of Directors, including meeting planning, scheduling, catering, logistics, and in office coordination and support.
- Preparing, coordinating, and distributing Board packages and materials, including agendas, presentations, briefing documents, and other confidential materials.
- Maintaining Board calendars, annual meeting schedules, and key governance deadlines.
- Serving as a primary point of contact for Board members and Executive Leadership.
- Managing complex calendars, competing priorities, and shifting schedules with a high degree of discretion and judgment.
- Coordinating Board and executive travel arrangements, including itineraries and related logistics.
- Preparing correspondence, presentations, reports, briefing materials, and other executive communications.
- Ensuring meeting action items and follow-up documentation are completed and appropriately distributed.
- Managing directors’ expenses, invoices, and other administrative activities.
- Coordinating confidential communications and handling sensitive matters with professionalism and discretion.
- Supporting other board and executive activities and initiatives as required.
Skills & Experience You Will Bring
- Demonstrated experience supporting boards of directors, board committees, C-suite executives, or senior leadership teams.
- Experience in Board administration and a strong understanding of corporate governance practices.
- Experience working in a public company, publicly traded organization, or highly regulated environment is preferred.
- Experience in media, telecommunications, broadcasting, or a similarly complex corporate environment is an asset.
- Proven ability to support multiple executives and/or Board Committees simultaneously while managing competing priorities.
- Experience coordinating board or executive-level meetings, events, travel, and governance processes.
- Advanced proficiency in Microsoft 365, including Outlook, Word, PowerPoint, Excel, and Teams.
- Experience with Board portal software, such as Diligent Boards or an equivalent platform, is an asset.
- Exceptional organizational, communication, and time-management skills, with strong attention to detail.
- Excellent judgment and the ability to anticipate needs, solve problems, and work independently in a fast-paced environment.
- Outstanding professionalism, discretion, and integrity when handling confidential and sensitive information.
- Strong interpersonal and stakeholder-management skills, with the ability to build trusted relationships with executives, Board members, and colleagues at all levels of the organization.
