Job Summary
We are seeking a dependable, energetic and detail-oriented Bookkeeper & Property Administration Coordinator to join our team. In this vital role, you will manage financial records, oversee property administrative tasks, and ensure smooth accounting operations. Bookkeeping will be the primary focus, with administrative support related to the company’s residential properties.
Your proactive approach will help maintain accurate financial data, support property management activities, and contribute to the overall success of our company.
Duties
- Maintain accurate bookkeeping records using accounting software such as Excel, QuickBooks, Sage, or Xero
- Monitor rent payments, tenant balances and outstanding amounts
- Manage accounts payable and receivable processes efficiently
- Perform bank reconciliations and account analysis to ensure financial accuracy
- Prepare and process payroll in compliance with relevant regulations
- Handle invoice processing, expense tracking, and budget monitoring
- Track mortgages, taxes, insurance, utilities and recurring expenses
- Coordinate property administrative tasks including lease documentation and advertising
- Conduct regular account reconciliation and financial reporting as needed
- Provide detailed reporting to our accountant for corporate year-end tax preparation
- Generate T-slips for tax preparation
- Prepare and process HST payments and annual return
- Provide limited backup property management support when necessary (additional compensation for after-hours)
Experience
- Proven experience with bookkeeping and accounting practices, ideally but not essential in a property management or real estate environment
- Proficiency in accounting software such as QuickBooks, Sage, or Xero is essential
- Proficiency with Microsoft cloud and Microsoft Excel
- Strong understanding of accounts payable, accounts receivable, bank reconciliation, and account analysis
- Experience with payroll processing and budgeting is highly desirable
- Excellent organizational skills with the ability to manage multiple tasks efficiently
- Knowledge of property administration procedures is a plus
