Salary: $55,000-$65,000, commensurate with experience; competitive salary and excellent benefits package, plus overtime.

Job Summary:

The Councillor's Assistant, Case Work Officer is accountable for managing and delivering a range of constituency, political, and operational services and processes in support of the Councillor and the Councillor’s agenda including: internal and external relations, project management, media relations, and serving as a representative for the Councillor in dealings with community groups and local residents.

Description of Responsibilities:

You will report to the Senior Case work Officer.

- Receive and respond to high volume of telephone calls, emails, and letters from constituents, City staff, City Council members, and other elected officials from all levels of government, in a prompt and informed manner;
- Resolve constituent requests in a timely manner by providing information and clarification about the City’s policies and programs, or City Council and Committee activities;
- Develop relationships with appropriate City departments to obtain required information to respond to constituent concerns;
- Respond to Constituents and other individuals in person at the Ward Office and/or at community events;
- Attend meetings, workshops, conferences in place of the Councillor, providing an update on behalf of the Councillor, when appropriate to do so, and providing a report to the Councillor;
- Draft speaking materials to review with the Councillor before attending events;
- Work with the Councillor to determine next steps for constituent concerns when a resolution cannot be reached;
- Organize and distribute flyers and mailings on behalf of the Office;
- Research inquiries to provide all relevant information to the Councillor in a background report following conversations with constituents to determine actions;
- Develop and manage systems and procedures consistent with responding to constituency work;




- May oversee and coordinate the constituency work of assistants and volunteers to the Councillor and recommend requirements for additional staff in accordance with the office workload;
- Utilize Customer Relationship Management software (Microsoft Dynamics) to maintain a record of callers and provide the Councillor with regular reports;
- Provide general administrative support services to the Councillor by organizing, developing, and maintaining filing and information systems to ensure ready access to documentation and information.

Education and Experience:

- Post Secondary School: University degree or College Diploma in Business Administration, Public Administration, Journalism, Communications, English or related program
- A minimum of 2 years experience in providing administrative services is required, preferably to the senior executive level, and including the provision of communication services.
- Experience providing support to an elected official is desirable.
- Experience and formal training combined with demonstrated performance and ability may substitute for stipulated academic requirements.

Language, Certificates, and Licenses:

- English oral, reading, and writing
- French oral, reading, and writing (as required by the Elected Official)
- A valid Ontario unrestricted “G” class driver’s license (or provincial equivalent) with no more than 6 demerit points accumulated.
- Asset languages: Arabic, Mandarin, Spanish, Somali

Knowledge:

- Mandate, structure, and protocol of Council and its committees
- Ward demographics and current initiatives and issues
- Policy initiatives and issues in committees chaired by the Councillor or on which the Councillor is a member
- Knowledge of Microsoft Office, Microsoft Excel, Microsoft Outlook

Competencies and Skills:

- Excellent interpersonal and communication skills, orally and in writing
- Manage and prioritize competing tasks
- Initiative, requiring general direction only
