We are currently seeking a highly organized, professional, and dependable Executive Assistant to support Senior Management and help ensure the smooth operation of our executive office and administrative functions.
Job Overview The Executive Assistant is responsible for providing comprehensive administrative and executive support to Senior Management, ensuring priorities, communications, and business objectives are effectively coordinated. This role requires exceptional organizational skills, discretion, attention to detail, and the ability to manage multiple responsibilities in a fast-paced environment.
This is a hands-on administrative position suited to someone who thrives in a energetic business environment and enjoys being a trusted partner to leadership.
Key Responsibilities
Executive & Administrative Support
- Provide direct administrative support to the President and Senior Management.
- Manage calendars, schedules, meetings, emails, phone calls, and correspondence.
- Coordinate meetings, prepare agendas, take minutes, and distribute meeting records.
- Act as a professional liaison between Senior Management, employees, customers, contractors, and business partners.
Office Coordination & Administration
- Coordinate travel arrangements, itineraries, and expense documentation.
- Organize company meetings, leadership sessions, and corporate events.
- Prepare, track, and maintain contracts, legal documents, and executive correspondence.
- Maintain organized electronic and physical filing systems.
- Other duties as assigned.
Communication & Reporting
- Draft and distribute internal and external communications on behalf of Senior Management.
- Assist with reporting requirements, KPI tracking, and executive documentation.
- Support company communications and social media activities as directed.
- Monitor and follow up on action items and project deadlines.
Confidentiality & Project Support
- Assist with special projects and company initiatives.
- Handle confidential business, financial, and personnel information with discretion.
- Exercise sound judgment, professionalism, and confidentiality at all times.
Skills & Qualifications
- College diploma in Business Administration, Accounting, or a related field preferred.
- Minimum one (1) year of administrative or executive support experience.
- Strong proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
- Excellent organizational and time management skills.
- Ability to manage multiple priorities in a fast-paced environment.
- Strong written and verbal communication skills.
- High level of accuracy and attention to detail.
- Proven ability to work independently and maintain confidentiality.
- Professional demeanor and strong interpersonal skills.
