Executive Assistant to the CEO — VetWise, Nelson Animal Hospital & VetWell Waterdown Animal Hospital
Location: Hybrid — 1-2 days per week on-site in Burlington and Waterdown, ON, with remote flexibility
Job type: Full-time, permanent
This role sits across three connected organizations led by the same person.
VetWise is a 24/7/365 virtual veterinary care company founded in 2018 (formerly Smart.Vet). Registered Veterinary Technicians and veterinarians answer after-hours calls for veterinary practices across Canada and the United States, triaging cases, delivering telemedicine consultations, and routing patients back to their home clinic. We were built by veterinarians who understand the realities of after-hours care, and we exist to strengthen traditional practices rather than compete with them.
Nelson Animal Hospital is our family-owned companion animal practice in Burlington, accredited by the College of Veterinarians of Ontario and serving the community since 2006.
VetWell Animal Hospital in Waterdown is a new, open-concept hospital, built around comfort, connection, and transparency. Lounge-style reception, transparent treatment areas, a mezzanine overlooking the hospital, and a deliberate focus on team wellness in a profession facing record burnout.
About the role
We're looking for an Executive Assistant to work directly alongside our CEO across all three organizations.
Three organizations means three sets of priorities competing for the same calendar, and a large part of this job is protecting that calendar intelligently. If you like variety and you're energized rather than rattled by a changing plan, you'll do well here.
The position is full-time and hybrid,
with regular on-site time at both hospitals — Burlington and Waterdown are about a fifteen-minute drive apart — and flexibility to work remotely otherwise.
What you'll do
- Own a complex, frequently changing calendar across three organizations
- Manage and triage a high-volume inbox, drafting correspondence and flagging what genuinely needs attention
- Help prepare briefing notes and materials ahead of meetings, and track action items afterward
- Coordinate travel, conference attendance, and industry events
- Support board, investor, and partner communications, including scheduling and document preparation
- Act as a reliable point of contact between the CEO and the leadership teams at both hospitals
- Maintain organized digital filing and documentation, kept cleanly separated between entities
- Take on ad hoc projects and personal-adjacent administrative tasks as they arise
What we're looking for
- Three or more years of experience supporting a senior executive, founder, or business owner
- Exceptional written communication — you can draft something in someone else's voice and have it land correctly
- Genuine discretion with confidential financial, legal, personnel, and client information
- Strong judgment about what's urgent vs. what can wait
- Comfort with ambiguity and shifting priorities, and taking initiative
- The organizational discipline to keep three sets of books, calendars, and commitments from bleeding into each other
- Fluency with Google Workspace, video conferencing,
and contemporary collaboration and project tools
- Meticulous organization and follow-through — nothing dropped, nothing forgotten
- A valid driver's licence and reliable transportation, with the ability to be on-site in both Burlington and Waterdown
A plus:
- Experience in veterinary medicine, healthcare, or another regulated clinical environment
- Background supporting a startup or high-growth company, particularly one operating in both Canada and the US
- Experience supporting an executive across multiple entities or locations
- Light marketing and social media experience
- An interest in growing with the company — this role can expand into operations, chief-of-staff-type work, or project leadership for the right person
