Position Overview

We are seeking a highly organized, proactive and detail-oriented Executive Assistant to provide comprehensive support to our CSO. This role is ideal for someone who thrives in a fast-paced environment, is exceptionally strong at follow-up, and is comfortable managing multiple priorities on behalf of a busy executive who travels frequently.

The Executive Assistant will act as the CSO of Sales' organizational right hand, helping manage his schedule, communications, travel, expenses, client follow-ups and day-to-day administrative needs. The successful candidate will be someone who anticipates what needs to be done, follows through without being asked, and ensures that important details, deadlines and communications do not fall through the cracks.

Key Responsibilities

Calendar & Schedule Management

- Manage and coordinate the CSO of Sales' business and personal calendar.
- Schedule meetings, appointments, calls and other commitments.
- Confirm and follow up on upcoming appointments and meetings.
- Proactively identify scheduling conflicts and ensure sufficient time is allocated for travel and other commitments.




- Keep the CSO organized and prepared for upcoming meetings and appointments.

Email & Communication Management

- Assist with the management and organization of the CSO's email inbox.
- Review and prioritize incoming emails and identify items requiring immediate attention.
- Flag important messages and ensure that required responses and follow-ups are completed.
- Track outstanding requests, commitments and action items.
- Draft routine correspondence and responses when appropriate.
- Follow up internally and externally on behalf of the CSO as required.

Travel & Road Planning

- Coordinate business travel and related logistics.
- Plan efficient routes for client appointments, prospect meetings and drop-in visits while the CSO is travelling.
- Organize schedules and itineraries to maximize productivity while on the road.
- Coordinate hotels, flights, transportation and other travel arrangements as required.
- Make adjustments to schedules and itineraries when plans change.

Sales & Client Support

- Assist the CSO in keeping track of existing accounts, dormant accounts, prospects and new client accounts.
- Maintain organized lists of accounts requiring follow-up.
- Track sales-related commitments and ensure appropriate follow-up occurs.
- Help coordinate client meetings, drop-ins and sales activities.
- Work with the CSO and internal teams to ensure important client matters and opportunities are followed through to completion.

Expenses, Receipts & Administration

- Organize and maintain business and personal receipts and supporting documentation.




- Match receipts and expenses to the appropriate personal and/or corporate credit cards.
- Prepare and organize documentation required for expense reporting and reconciliation.
- Submit and track medical receipts and claims as required.
- Maintain accurate and organized electronic records.
- Scan, file and upload documents to the appropriate folders on the shared drive.

General Executive Support

- Maintain a running list of priorities, outstanding items and deadlines for the CSO.
- Regularly follow up with the CSO on items requiring his attention or response.
- Anticipate administrative and organizational needs before they become urgent.
- Coordinate with employees, clients, suppliers and other contacts on his behalf.
- Handle confidential business and personal information with discretion.
- Provide additional administrative and executive support as required.

Qualifications & Skills

- Previous experience as an Executive Assistant, Personal Assistant or in a similar senior administrative support role.
- Exceptionally organized with strong attention to detail.
- Excellent follow-up skills and persistence are essential.
- Ability to manage and prioritize a high volume of emails, appointments, requests and competing priorities.
- Proactive and comfortable taking ownership rather than waiting for direction.
- Robust written and verbal communication skills.
- Able to work effectively with an executive who travels frequently and whose schedule can change quickly.
- Strong judgment and ability to determine what requires immediate attention.
- Comfortable handling both business and personal administrative matters.
- High level of discretion and confidentiality.
- Strong computer skills and ability to learn new systems quickly.
- Ability to remain calm, flexible and solutions-oriented in a fast-paced environment.
