Job Summary

Fleet Manager – Tank Truck Operations

Position: Fleet Manager

Department: Fleet / Operations

Reports To: General Manager / Operations Manager

Fleet: Approximately 30 Power Units and 40 Trailers, primarily tank trailers

Position Summary The Fleet Manager is responsible for the day-to-day administration, compliance, availability, and overall condition of the company’s fleet of approximately 30 power units and 40 trailers, primarily consisting of tank trailers.

The Fleet Manager ensures all trucks and trailers are properly registered, insured, plated, prorated, inspected, maintained, and legally authorized to operate. This position coordinates maintenance and repairs with the company’s mechanics and outside service providers.

The Fleet Manager works closely with Operations, Dispatch, Drivers, mechanics, and outside vendors to keep equipment safe, compliant, and available for service.

Key Responsibilities

Fleet Compliance & Administration

- Maintain complete and accurate records for all power units and trailers.
- Ensure all fleet vehicles remain current and compliant with applicable transportation and regulatory requirements.
- Track and maintain:
- Vehicle registrations
- Plates and permits
- Prorate / apportioned registrations
- Insurance documentation
- Annual and periodic inspections
- Safety inspections
- Tank inspections and certifications
- Licensing requirements
- Permits and operating credentials
- Required vehicle documentation
- Maintain a master calendar of all upcoming expiry dates and ensure renewals are completed before they expire.
- Ensure copies of current registration, insurance, inspection, permit, and other required documents are properly maintained and readily available.
- Monitor changes to applicable transportation and vehicle regulations and communicate requirements to management.
- Maintain organized records for audits, inspections, and regulatory reviews.
- Ensure all fleet documentation is accurate and up to date.

Inspections & Certifications

- Schedule and track all required truck and trailer inspections.
- Ensure annual inspections are completed before their due dates.
- Track tank-specific inspection, testing, certification, and repair requirements.
- Maintain records of tank inspections and certifications for each applicable trailer.
- Monitor inspection deficiencies and ensure they are addressed before equipment is returned to service.
- Maintain a system that clearly identifies upcoming inspection and certification requirements.

Maintenance Coordination

- Coordinate preventative maintenance schedules for all trucks and trailers.
- Monitor mileage, engine hours, service intervals, and maintenance due dates.
- Coordinate maintenance and repairs with company mechanics and outside repair facilities.
- Provide mechanics with maintenance priorities and upcoming service requirements.
- Track equipment that is down for repair and follow up on expected completion dates.
- Monitor recurring mechanical problems and bring significant or recurring issues to management's attention.
- Ensure maintenance records are complete and properly filed.




- Review repair invoices and documentation for accuracy.
- Help control maintenance costs by monitoring repairs, parts, outside service work, and preventative maintenance.

Tank Trailer Management

- Maintain accurate records for the company’s tank trailer fleet.
- Track tank inspections, testing, certifications, repairs, valves, hoses, fittings, pumps, piping, and other applicable equipment.
- Ensure tank trailers remain compliant and suitable for their intended use.
- Coordinate required tank inspections and repairs with qualified service providers.
- Monitor trailer condition and identify equipment requiring attention.
- Ensure tank-specific documentation is current and properly maintained.

Plates, Permits & Insurance

- Maintain a complete fleet list showing the status of every power unit and trailer.
- Ensure plates, registrations, prorate/apportioned registrations, permits, and related documentation are current.
- Track insurance requirements and renewal dates for fleet equipment.
- Coordinate with management and the appropriate insurance/registration providers to ensure coverage and documentation remain current.
- Ensure expired plates, registrations, insurance documents, permits, or other credentials are identified and addressed before they create an operational or compliance issue.
- Maintain organized records of historical and current fleet documentation.

Equipment Availability

- Maintain an accurate daily understanding of which trucks and trailers are:
- Available
- In service
- Down for repair
- Awaiting parts
- Awaiting inspection
- Awaiting certification
- Out of service
- Scheduled for maintenance
- Coordinate with Operations and Dispatch regarding equipment availability.
- Help plan preventative maintenance around operational requirements.
- Coordinate equipment changes or substitutions when units are unavailable.
- Identify potential equipment shortages or extended downtime and communicate them to management.

Driver & Equipment Communication

- Provide drivers with a clear process for reporting equipment defects and maintenance concerns.
- Review driver defect reports and coordinate appropriate follow-up.
- Ensure reported safety or mechanical deficiencies are addressed promptly.
- Follow up on recurring driver-reported equipment issues.
- Communicate maintenance and inspection requirements to drivers as necessary.
- Promote proper care and reporting of fleet equipment.

Records & Reporting

- Maintain an organized electronic and/or physical filing system for all fleet records.
- Keep fleet information current in the company’s fleet management or maintenance software, where applicable.
- Prepare regular reports for management regarding:
- Fleet availability
- Equipment downtime
- Upcoming inspections
- Maintenance due
- Expiring registrations and permits
- Insurance renewals
- Tank certifications
- Maintenance expenses
- Major repairs
- Equipment replacement needs
- Provide management with advance notice of upcoming compliance, maintenance, and capital requirements.





Key Performance Expectations The Fleet Manager is expected to ensure that:

- No truck or trailer is operating with expired required documentation.
- Registrations, plates, prorate/apportioned registrations, insurance, permits, and inspections are kept current.
- Tank inspections and certifications are completed on time.
- Preventative maintenance is scheduled and tracked.
- Equipment deficiencies are followed up and documented.
- Fleet records are accurate and organized.
- Equipment downtime is minimized through proactive planning and follow-up.
- Management is given adequate advance notice of upcoming renewals, inspections, major repairs, and equipment replacement needs.
- Operations has accurate information regarding equipment availability.

Qualifications & Experience

- 3+ years of experience in fleet administration, transportation, trucking, heavy-duty equipment, or a related field.
- Experience with commercial trucks and trailers required.
- Experience with tank trailers and/or tank truck operations strongly preferred.
- Knowledge of commercial vehicle registrations, inspections, permits, insurance, and prorate/apportioned registration requirements.
- Strong understanding of fleet maintenance and preventative maintenance programs.
- Strong organizational and record-keeping skills.
- Ability to manage multiple deadlines and regulatory requirements.
- Strong attention to detail.
- Good communication and follow-up skills.
- Comfortable working with drivers, mechanics, vendors, and management.
- Proficient with computers and fleet management/maintenance software.
- Commercial driver's licence is an asset.

- A strong communicator – Keeps management, Operations, Dispatch, drivers, mechanics, and vendors informed.

Scope of Authority The Fleet Manager is responsible for coordinating, tracking, and administering the fleet, including compliance, documentation, inspections, maintenance scheduling, and equipment availability. The Fleet Manager does not have direct supervisory authority over mechanics and is not responsible for managing the mechanics' day-to-day work.

The Fleet Manager does not have responsibility for customer relations or customer account management.

Definition of Success

Success in this position means the company always knows the status of its equipment and nothing falls through the cracks.

All 30 power units and 40 trailers should have current registrations, plates, prorate/apportioned requirements, insurance, inspections, permits, tank certifications, and maintenance records, with upcoming requirements identified well in advance.

The Fleet Manager keeps the fleet safe, compliant, documented, and ready to work.

Pay: $100,000.00-$120,000.00 per year
